Job Purpose
To provide high-level executive support to the Managing Director (MD) by managing communications, coordinating internal projects, preparing reports, and ensuring seamless execution of strategic initiatives. The Executive Assistant acts as a strategic liaison between the MD and key stakeholders across departments, while also driving special assignments and cross-functional tasks aligned with company objectives.
Key Responsibilities
1. Executive Support & Calendar Management
Manage and prioritize the MD's daily schedule, meetings, travel plans, appointments, and follow-ups.
Organize internal and external meetings, prepare agendas, take minutes, and ensure timely completion of action items.
Serve as a gatekeeper to ensure appropriate access to the MD while maintaining efficiency and professionalism.
2. Project Management & Execution
Drive execution of internal and strategic projects initiated by the MD, tracking progress, timelines, resources, and reporting outcomes.
Coordinate with cross-functional teams (HR, Finance, SCM, IT, Operations, etc.) to ensure alignment and timely delivery of key initiatives.
Maintain dashboards, Gantt charts, and reports for ongoing and upcoming strategic projects.
3. Communication & Liaison
Act as a communication bridge between the MD and internal/external stakeholders.
Draft professional emails, reports, presentations, and briefs on behalf of the MD.
Ensure the MD is well-informed and well-prepared for all meetings and engagements.
4. Data Analysis & Strategic Reporting
Compile, analyze, and summarize data from various departments to present actionable insights to the MD.
Prepare business review presentations, project reports, and performance summaries for leadership meetings.
Assist the MD in monitoring OKRs, KPIs, and deliverables across teams.
5. Confidentiality & Decision Support
Handle sensitive and confidential information with discretion and integrity.
Provide administrative, analytical, and strategic decision-making support by preparing comparison notes, business cases, and internal reviews.
6. Process Improvement & Initiative Ownership
Identify process inefficiencies and suggest improvements across departments on behalf of the MD.
Act as an internal ambassador of the MD's vision--ensuring alignment across teams with RISE 2025-26 strategic goals.
Lead task force groups or pilot initiatives as directed by the MD.

Experience in project management or PMO role (preferred)
Qualification & Experience
Graduate/Postgraduate in Business Administration, Management, or related field
3-7 years of experience supporting C-suite Executives
Prior exposure to project coordination or internal consulting preferred
Knowledge of business operations, reporting structures, and strategic initiatives
