Job Summary:
We are looking for a proactive, detail-oriented, and highly organized
Executive Assistant - Reporting
to work closely with the Director. This role combines executive support with internal reporting, cross-functional coordination, and systematic follow-ups. The ideal candidate should be confident, adaptable, and capable of handling multiple responsibilities while maintaining confidentiality and accuracy.
Key Responsibilities:
Executive Support
Manage the Director's calendar, meetings, appointments, and travel schedules
Act as a key point of contact between the Director and internal/external stakeholders
Handle emails, calls, and official correspondence with professionalism and discretion
Reporting & Coordination
Collect daily, weekly, and monthly reports from departments and team members
Consolidate, analyze, and present reports in a structured and timely manner
Follow up with teams to ensure timely submission of reports and closure of action items
Meetings & Documentation
Coordinate meetings, prepare agendas, record minutes, and track follow-ups
Prepare presentations, management reports, and review documents as required
Maintain organized records, files, and confidential documentation
Operations & Administration
Assist in project coordination, research, and task tracking
Handle expense tracking, reimbursements, and basic MIS reporting
Support planning and execution of internal meetings, events, and conferences
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field (preferred)
Minimum 2 years of experience as an Executive Assistant, Executive, or similar role
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)
Strong verbal and written communication skills
Excellent organizational, time-management, and follow-up abilities
High level of integrity and discretion in handling confidential information
Preferred Skills:
Experience in reporting, MIS, and data coordination
Basic knowledge of expense management and administrative processes
Ability to work independently and proactively with senior leadership
