Location: Remote/WFH

Working Hours: Indian/Dubai time zone, 5 days Monday-Friday.

We are seeking a skilled and experienced

Executive Assistant or Virtual Assistant

to assist our international clients. The ideal candidate must have e

xcellent English communication skills (both verbal and written)

and prior experience (minimum 12 months) as a Executive/Virtual Assistant. The Executive Assistants will provide administrative support to the CEO (based in Dubai) and CTO (based in India). This role is pivotal in ensuring smooth coordination of schedules, meetings, and operational tasks across global time zones. The ideal candidate is highly organized, detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:



Manage calendars and schedules for the CEO and CTO,

including coordinating meetings across multiple time zones.

Follow up on emails

and requests to ensure timely responses and scheduling.

Coordinate interview scheduling with candidates and internal stakeholders

. Assist with logistics and coordination for HR-related initiatives and events (e.g., offsites).

Support miscellaneous program management and administrative tasks

as needed.

Make calls to clients, candidates, or other stakeholders as required, ensuring professional communication.

Maintain confidentiality and handle sensitive information with discretion.

Tools & Technology:



G Suite: Email, calendar, and document management. Slack: Team communication and collaboration. Notion (optional): Documentation and project management; training provided. Greenhouse (optional): Recruiting and interview coordination; training provided.

What should be your profile & skills?



Minimum of

1 year of experience as a Executive Assistant or Virtual Assistant

.

Excellent English communication skills, both verbal and written

.

Strong organizational skills and attention to detail

.

Ability to work independently, manage multiple tasks, and meet deadlines.

Comfortable with making calls and professional client communication

. Experience coordinating across multiple time zones is a plus. Familiarity with CRM systems (experience with HubSpot is a plus but not mandatory). Proactive problem-solving abilities, accuracy and a solution-oriented mindset. Patience, empathy, and the ability to handle challenging situation calmly and effectively.

Effective time manager, active listener and quick adaptability to new tools, systems, and processes.

Proficiency in Microsoft Excel, G Suite, and similar productivity tools.

Comfortable working in a dynamic and fast-paced environment.

Ability to work during different time zone hours.

Flexibility to adjust working hours during peak periods or as needed.
