  • Candidates with relevant experience in Operations or as an EA, PA, or PS would be preferred.
  • This position does not offer a Work from Home (WFH) option.
  • The Executive Assistant / Secretary to Director role requires travel (twice a month on average) to other cities/regions of India for official work and business meetings.
  • If necessary, on-the-job training can be provided to those with insufficient experience or skills but are otherwise a good fit for this position.

As a software company with significant expertise in software product engineering, design, and development, we are expanding our range of products and have ambitious plans to market them globally. : We are seeking a highly motivated, talented, and organized individual to join our team as an Executive Assistant / Secretary to the Managing Director. The ideal candidate should have relevant experience in and a passion for technology. Responsibilities in Business Operations: As an Executive Assistant and /or Personal Secretary to the Managing Director:
  • Provide administrative support, including scheduling appointments, organizing meetings, and managing official correspondence.
  • Monitor and review operational processes to identify areas for improvement and implement changes to increase efficiency.
  • Develop and maintain positive relationships with vendors and suppliers to ensure timely delivery of goods and services.
  • Assist in the preparation and analysis of budgets, financial reports, and other performance metrics to support informed decision-making.
  • Participate in project planning and implementation to support the growth and success of the company.
  • Perform other duties as assigned by the Managing Director.
  • Coordinate and prepare materials for board meetings, conferences, and other events.
  • Draft and edit correspondence, reports, and other documents on behalf of the Director.
  • Handle confidential information with discretion and maintain a high level of professionalism at all times.
  • Serve as a liaison between the MD and other executives, staff members, and external stakeholders.
  • Conduct research and gather information as needed to support the MD\'s decision-making process.
  • Oversee the day-to-day operations of the MD\'s office and delegate tasks to other administrative staff as necessary.
  • Travel with the Managing Director to other cities to attend business meetings, events, trade fairs, and other official functions.
Recruitment-Related Responsibilities (as and when needed):
  • Coordinate and manage the full-cycle recruitment process for IT and business operations positions, including posting job advertisements, sourcing candidates, conducting interviews, and negotiating offers, as needed.
Requirements:
  • Graduate and/or Post Graduate degree in Science, Technology, Commerce, Human Resources, Business Administration, or a related field.
  • Between 2 to 6 years of experience in Operations and/or as a Personal Secretary / Assistant to CEO / Director.
  • Recruitment experience, ideally within the IT and operations fields, is preferred.
  • Excellent communication, interpersonal, and organizational skills.
  • Fluency in English and any other relevant languages is preferred.
  • Proficient in giving presentations at business meetings and promotional events.
  • Ability to think innovatively and outside of the box.
  • Ability to work independently and prioritize tasks effectively.
  • Strong attention to detail and problem-solving skills.

They should possess the ability to multitask, prioritize, and work effectively under changing priorities, deadlines, and daily time constraints. The successful candidate should be trustworthy, with the ability to manage sensitive, complex, and confidential information. They should be flexible and able to adapt to change in a growing organization. Being fit and agile enough to handle this challenging role, which would need one to be alert and proactive, is also essential. The candidate should be outgoing, personable, and able to think out of the box and explore new ideas and approaches when necessary. The position requires regular travel to other cities (usually about 2 to 3 times a month) for attending important business meetings, market research, sourcing of products, promotional events, and other official works as and when needed. Finally, the candidate should be friendly, caring, and sensitive by nature, with the willingness to establish a professional and supportive relationship with the Director. What We Offer:
