Job Description

The Executive Assistant provides high-level administrative support to the executive team, ensuring smooth day-to-day operations. The EA manages schedules, coordinates meetings, handles confidential information, prepares reports, and acts as the primary point of contact between executives and internal/external stakeholders.

Key Responsibilities:



1. Administrative Support



Manage and maintain the executive's calendar, appointments, and travel arrangements. Schedule and coordinate internal and external meetings, conferences, and events. Prepare correspondence, reports, presentations, and other documents. Maintain accurate and organized filing systems (digital and physical).

2. Communication & Coordination



Serve as a liaison between the executive and staff, clients, and partners. Screen and prioritize incoming emails, calls, and requests. Draft, review, and proofread communications on behalf of the executive.

3. Project Management



Track deadlines, deliverables, and key initiatives. Support executive projects by gathering data, conducting research, and preparing summaries. Follow up with teams to ensure timely completion of tasks.

4. Confidentiality & Professionalism



Handle sensitive information with discretion and maintain confidentiality at all times. Demonstrate professionalism and judgment in all interactions.

5. Office & Operations Support



Coordinate logistics for executive offsites, team meetings, and client visits. Manage expense reports, reimbursements, and budget tracking. Support HR, finance, or operations teams as needed.

Qualifications & Skills:



Bachelor's degree preferred (Business Administration or related field). 2-5 years of experience as an Executive Assistant or in a similar role. Strong organizational, multitasking, and time-management skills. Excellent written and verbal communication skills. Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools . Ability to work independently, exercise sound judgment, and adapt to changing priorities. High level of integrity, discretion, and professionalism.

Experience in a fast-paced corporate or startup environment. Ability to anticipate needs and proactively solve problems. Strong interpersonal and relationship management skills.
