Job Description





We are seeking a highly organized and proactive

Executive Assistant & Operations Specialist

to support our global HPC SoC Business Division across India, the EU, and the US.

This role combines

operations management, financial coordination, contract administration, compliance oversight, and executive support

, ensuring seamless execution of business processes and effective support to the VP and senior leadership.

Key Responsibilities



Financial & Budget Management



Maintain and monitor project budgets, forecasts, and order tracking. Collaborate with finance and budget controllers for updates, validations, and reporting. Prepare and participate in monthly budget review meetings.

Purchase Orders & Invoices



Track, manage, and file POs and invoices; ensure timely approvals. Approve invoices and maintain accurate financial records.

Contract & SOW Administration



Draft, renew, and manage Statements of Work and vendor contracts. Facilitate legal reviews, approvals, and signature processes. Maintain a structured repository of all signed contracts and documents.

Procurement & Approval Processes



Prepare and process purchase requests, expense approvals. Ensure completeness of supporting documentation for management approvals.

Compliance & Export Control



Conduct supplier compliance checks under the Internal Compliance Program (ICP). Coordinate with export control teams for shipments.

Administrative & Operational Support



Handle NDA requests and maintain organized documentation. Support India operations, including logistics, travel, events, and visitor coordination. Identify process improvement opportunities and implement best practices.

Executive Assistance



Manage the VP's calendar and travel arrangements. Act as the primary point of contact for scheduling and coordination with internal and external stakeholders.

Qualifications





Completed commercial training for secretary or similar. 10+ years of relevant professional experience in the assistant or secretarial field. Education qualification: Bachelor's/Master's Strong organizational, multitasking, and time-management skills. Experience in financial operations, budget tracking, and procurement workflows. Knowledge of contract lifecycle management, compliance, and export control processes. Proficiency in enterprise tools. Excellent communication and collaboration skills across cross-functional teams. High attention to detail and accuracy in record-keeping. Very fluent in English, both written and spoken High level of teamwork and initiative

Collaboration & Stakeholders



Work closely with finance, legal, export control, IT, and management teams. Liaise with internal stakeholders and external vendors as required.
