Job Duties & Responsibilities Landor & Fitch Fundamentals

  • Participates in multiple internal initiatives to build culture in support of our brand
  • Is a role model for others in terms of energy, optimism, attitude and drive for results
Executive Administration
  • Acting as the first point of contact, interacting with senior management both internally and externally, maintaining close relationships with clients and partner agencies within the WPP network
  • Managing the smooth and efficient running of busy diaries across several different time zones, ensuring that he/she is on time and armed with the correct information in advance of any meeting or call
  • Planning extensive international travel, which is inclusive of the coordination of visas and letter of invitations
  • Collating and producing documents for a variety of forums including team and management meetings, other meetings, reports and producing presentations
  • Setting up and preparing meetings, understanding how the VC set up works within each of the meeting rooms in SCH (i.e. setting up VC\'s/Teams)
  • Managing emails/correspondence and administration, including some personal administration
  • Effectively provide professional administrative support
  • Preparing a daily list of follow up/action items
  • Managing timesheets, raising POs and submitting expenses for Executives
Team & Culture
  • Contribute to projects and activities as appropriate for the team the Executive manages e.g. project co-ordination, desk research, presentation and communication support and day-to-day operational activities
  • Supporting employee experience and culture, including but not limited to: organizing, team socials; organizing company gifts for team members; and ensuring support is in place for the smooth running of all studio-wide events
  • Liaising closely with the PAs in the group and providing the necessary cover whilst one of them is off
  • Undertakes all reasonable ad-hoc duties as requested by the Management Team, Head of Department or relevant Executive, Director, Manager

  • Mature and effective communication skills both written and verbal
  • Willingness to take job ownership and accountability to facilitate and see projects and tasks to completion, with little direction and with flawless execution
  • Ability to maintain diplomacy and discretion at all times
  • Perseverance, patience and a sense of humor
  • An interest in the business evidenced by reading incoming material and thereby remaining informed as to the current issues, contributing to team-wide conversations
  • Demonstrable experience as a PA in a professional agency/creative environment
  • Advanced IT literacy, demonstrable ability to navigate and use Outlook, Excel (printing spreadsheets), PowerPoint and Word
  • Superior experience planning complex travel itineraries
  • Understanding of international time zones and their impact on organizing meetings
  • Taking and transcribing minutes of meetings (including Board meetings)
