Job Description


Responsibilities

Strategy

  • The primary purpose of this position is to provide personal assistance and secretarial support for Regional Head of Property (RHoP) India, South Asia and Indonesia and to form liaison with other Executive Assistants within Southern Asia Management Team.
  • Ensure compliance with various policies (travel, gift & entertainment, and other administrative policies) and maintains confidentiality.
Business
  • Responsible for diary management, includes arranging and booking internal and external meetings and special events.
  • Responsible for meeting arrangements and logistics thereof \xe2\x80\x93 scheduling room bookings, event catering, video conferences and townhalls etc
  • Managing all logistics for the meetings & VCs, including regular PSC meetings, and sending invites on behalf of Line manager.
  • Support for preparation of reports, presentation, and letters etc.
  • Organize and maintain filing and storage of confidential documents per bank\xe2\x80\x99s process and policy.
Processes
  • Travel arrangements / policy - organising travel itineraries, public and private transport, air travel, hotel bookings, transfers, visas etc.
  • Monthly expenses management including e-proc end to end, debit notes.
  • Raise GOLF request and assist RHOP with GDAM, DOA.
People & Talent
  • Lead through example and build the appropriate culture and values. Set appropriate tone and expectations with the team and work in collaboration with risk and control partners
  • Support the SCB promise through the active support for team CSR activities.
Risk Management
  • To support RHoP on risk related matters as needed
Governance
  • Support RHoP on travel expense and reimbursement claims administration for manager to ensure T&E policy is adhered.
  • Full responsibility for supporting RHoP managing travel and expenses within group policy guidelines, compliance requests for Manager \xe2\x80\x93 including check and review of T&E submission on behalf of RHoP
Regulatory & Business Conduct

  • Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.
Key stakeholders
  • Key stakeholder interactions are Executive Assistants to all CFOs, COO\xe2\x80\x99s, CIOs and Business/Function Heads in India, Bangladesh, Sri Lanka, Nepal, Indonesia Cluster & GBS Business Partner.
  • Property Management Team and Extended Management Team.
Other Responsibilities
  • Embed Here for good and Group\xe2\x80\x99s brand and values in India Property Team; Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures.
  • Act as primary liaison with IT service support - including responsibility for onboarding/ offboarding for team members
  • Responsibility for e-procurement approvals on behalf of Manager
  • Assist with end-to-end Meeting/travel arrangements for other team members as required.
  • All other Ad Hoc duties when required (meeting room bookings, setting up of conference / video call, order of stationery etc)
  • Research and provide complete information on Real Estate Institutional Programmes like Corenet Global membership and IIM MDP enrolling.
  • Managing financial and accounting matters i.e., scrutinising, and vetting vendor bills, submitting the same along with relevant documents to the finance department and ensuring timely payments.
  • Subject Matter Experts and colleague\xe2\x80\x99s liaison for overall support to carry out their work smoothly.
  • Handling Events end-to-end including onboarding the vendor, negotiation as per process.

  • Experience \xe2\x80\x93 Executive Assistant position 10+ years of experience.
  • Preferred Qualifications (experience more important than qualifications):
  • Knowledge to work in a matrix multinational industry
  • Knowledge to work with senior manager (Managing Director level or above)
  • Strong Communication and Negotiation skills
