Key Responsibilities:
Calendar & Meeting Management:
Schedule and coordinate internal and external meetings, appointments, and events across multiple time zones.
Ensure executives are well-prepared for meetings, including agenda preparation, briefing documents, and follow-ups.
Communication & Correspondence:
Draft, review, and respond to emails and other communications on behalf of the executive(s) with a high degree of professionalism and confidentiality.
Serve as a liaison between executives and internal/external stakeholders.
Travel Management:
Manage complex travel arrangements including flights, accommodations, visas, itineraries, and local transportation.
Provide real-time support during travel and handle any changes or issues that arise.
Administrative Support:
Organize and maintain files, records, and confidential documents.
Prepare reports, presentations, and meeting materials as needed.
Event & Logistics Coordination:
Assist in the planning and execution of team events, off-sites, and executive engagements.
Coordinate logistics for high-level meetings including venue booking, catering, and technology support.
Key Skills & Requirements:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
High level of discretion, integrity, and professionalism.
Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with collaboration tools like Zoom, Teams, or Google Workspace is a plus.
Prior experience in an executive assistant or administrative role is preferred.
