Job Description

Roles & Responsibilities

A. Administrative & Coordination Support (50-60%)

Calendar and Schedule Management: Proactively manage complex calendars, prioritize appointments, schedule meetings, and resolve scheduling conflicts for the Head of the Foundation. Communication Hub: Serve as the primary point of contact and "gatekeeper" for screening calls, emails, and visitors. Draft, proofread, and manage correspondence, reports, and internal/external communications with professionalism and discretion. Travel and Logistics Coordination: Arrange comprehensive travel plans, including booking transportation and lodging, preparing detailed itineraries, and managing expense reporting for the Head of the Foundation. Document and Information Management: Maintain highly organized electronic and paper filing systems. Handle sensitive and confidential information with the highest level of discretion. Meeting Support: Organize and prepare for meetings by developing agendas, compiling briefing materials, taking meeting minutes, and tracking follow-up action items. Action and Task Tracking: Remind and track action items, commitments, and deadlines to ensure follow-through on priorities. Administrative Coordination: Manage travel bookings, reimbursements, calendars, and related administrative tasks to ensure seamless execution.
B. Communication & Stakeholder Management (30-40%)

Information Synthesis: Collect, analyze, and synthesize information from agencies, partners, and internal teams for decision-making. Stakeholder Coordination: Set up meetings with external agencies, collaborators, and stakeholders to ensure program progress and alignment. Documentation and Communication: Assist in preparing concept notes, presentations, analytical briefs, reports, and other documentation requirements. External Representation: Serve as a liaison between the Head of the Foundation, staff, and external vendors, fostering strong professional relationships. Insight Sharing: Track education and sectoral trends to share relevant insights with leadership. Digital Presence: Support in managing the organization's social media handles and communication channels.
C. Organisation-Specific Duties

Board and Governance Support: Coordinate arrangements for Board of Directors and committee meetings, including production and distribution of agendas, meeting papers, and minutes. Assist with board member onboarding and maintenance of governance documents. Fundraising and Development Support: Assist the development team with donor stewardship activities, assemble solicitation packets and materials, input donor data into databases (e.g., Raiser's Edge or equivalent), and provide logistical support for donor meetings and fundraising events. Mission Alignment: Uphold and represent the foundation's mission--enhancing student potential and promoting teaching excellence--in all interactions and communications. Project Management: Support special projects that contribute to the foundation's strategic goals, such as coordinating educational programs, research efforts, or key institutional events.
Skills & Competencies

Excellent written and verbal communication skills. Strong interpersonal, coordination, and stakeholder management skills. High level of discretion, integrity, and professionalism in handling sensitive information. Strong organizational skills with the ability to multitask and prioritize effectively. Proficiency in MS Office Suite and Google Workspace. Familiarity with social media management and content drafting. Analytical thinking and interest in research, education, and policy. Demonstrated ability to maintain confidentiality and manage complex administrative systems efficiently.
Education & Experience

Graduate / Postgraduate. Prior experience in supporting the head of institutions in the development sector preferred. Exposure to project management, donor coordination, and board meeting logistics will be an advantage.
