We are seeking a highly organized, proactive, and exceptionally skilled Executive Assistant to provide comprehensive administrative and organizational support to our Chief Operating Officer (COO) and Managing Director (MD), handling both

professional and personal tasks.

This dual role encompasses managing schedules, coordinating travel, handling correspondence, and organizing events, while also assisting with personal matters. The ideal candidate will be a smart and resourceful individual with a minimum of 5 years of experience supporting senior executives, ideally within a fast-paced environment.

Role & responsibilities



Personal Support:



Managing personal appointments and social engagements. Handling personal errands and tasks. Coordinating household management and maintenance. Assisting with personal finances and paperwork.

Administrative Support:



Handling correspondence, including emails, phone calls, and mail. Organizing and maintaining files and records. Preparing documents, reports, and presentations.

Calendar and Schedule Management:



Expertly manage complex calendars, including scheduling meetings, appointments, and conferences across multiple time zones. Proactively identify and resolve scheduling conflicts.

Travel Management:



Arrange extensive domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries. Prepare travel expense reports accurately and efficiently.

Information Management:



Organize and maintain highly confidential files, documents, and records, both physical and digital, ensuring easy retrieval and compliance with data security protocols.

Stakeholder Liaison:



Act as a professional and courteous liaison between the COO/MD and internal/external stakeholders, including clients, partners, and employees.

Local Commutes:



Be readily available to commute within the city for various tasks, including errands, event coordination, or urgent deliveries, as assigned.

Problem-Solving:



Proactively identify potential issues and offer solutions, demonstrating excellent judgment and problem-solving skills.

Preferred candidate profile



Bachelor's degree in any related field. Minimum of

5 years of progressive experience

as an Executive Assistant supporting C-suite executives (COO, MD, CEO, etc.). Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with virtual meeting platforms. Excellent organizational and time management skills. Strong

communication (written & verbal)

and interpersonal skills. Ability to multitask and prioritize effectively. Proven ability to manage multiple priorities, work independently, and meet deadlines in a fast-paced, demanding environment. Discretion and confidentiality in handling sensitive information.

Flexible for local commutes within the city, often with short notice.
