The Executive Assistant provides high-level administrative support to the executive team by handling information requests, performing clerical functions, preparing reports and correspondence, managing schedules, and coordinating meetings. The role requires exceptional organizational skills, discretion, professionalism, and the ability to work in a fast-paced environment.
Key Responsibilities:
1. Executive Support:
Manage and maintain executives' calendars, including scheduling appointments, meetings, and travel arrangements.
Handle confidential correspondence, emails, and phone calls on behalf of the executive.
Prepare reports, presentations, and other documents as requested.
Coordinate and track key projects, ensuring deadlines are met.
Serve as a liaison between the executive and internal/external stakeholders.
2. Administrative Management:
Organize and maintain files, records, and documentation (both digital and physical).
Draft, review, and edit communications, memos, and meeting materials.
Prepare expense reports and manage reimbursements.
Support event planning for internal and external meetings, conferences, or company functions.
3. Communication & Coordination:
Facilitate smooth communication between the executive and team members.
Screen and prioritize incoming requests, emails, and documents.
Take meeting minutes, summarize action items, and follow up on pending tasks.
Education:
Bachelor's degree in Business Administration, Management, or related field preferred.
Experience:
3-7 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
Experience supporting senior executives in a corporate or fast-paced environment.
Skills:
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and scheduling tools (e.g., Google Calendar, Zoom, Slack).
Ability to multitask and prioritize effectively.
High degree of professionalism, discretion, and integrity.
