Position Overview
We are seeking a highly organised, proactive, and strategically inclined individual to join the Founder's Office as an Executive Assistant to the COO. The ideal candidate will provide comprehensive administrative support and also contribute to strategic planning, effective coordination, and seamless execution across key organisational initiatives.
Job Location - HSR Layout, Bangalore (Work from office only)
Key Responsibilities:
Strategic Support:
Assist the COO in planning, tracking, and executing strategic priorities. Support decision-making through research, data compilation, and preparation of analytical documents and presentations.
Calendar & Workflow Management:
Manage the COO's complex calendar, prioritise appointments, resolve scheduling conflicts, and ensure smooth day-to-day operations.
Communication & Coordination:
Serve as the primary liaison between the COO and internal/external stakeholders. Draft, review, and refine emails, reports, and presentations; ensure clear and timely communication.
Information & Documentation Management:
Organise and maintain confidential files, records, and briefing materials. Conduct research and compile data to support meetings and strategic discussions.
Task Prioritisation:
Handle multiple tasks simultaneously, maintaining accuracy and meeting deadlines. Anticipate operational needs and proactively resolve issues.
Meeting & Board Coordination:
Schedule and prepare for executive and board meetings. Create agendas, compile supporting documents, take minutes, and ensure follow-up on action items.
Relationship Management:
Build and maintain strong professional relationships across teams and with external partners. Represent the COO in a polished, professional, and approachable manner.
Event Planning:
Plan and coordinate corporate events, leadership retreats, conferences, and team engagements ensuring high-quality execution.
Travel Management:
Organise end to end domestic and international travel, accommodation, and logistics. Track and reconcile expenses in a timely manner.
Qualifications and Skills:
Bachelor's/Master's degree in Business Administration, Management, or a related field.
Strong strategic thinking and problem-solving capabilities.
Exceptional organisational and time-management skills.
Excellent written and verbal communication skills.
High proficiency in MS Office Suite, especially
Excel, PowerPoint, and data-driven presentations
.
Ability to handle confidential information with utmost discretion.
Strong stakeholder management skills and a high degree of professionalism
