About the Role



The Executive Assistant to the CEO plays a critical role in supporting the CEO's effectiveness and ensuring the smooth and efficient running of their day-to-day operations. This role requires a highly organized, proactive, and discreet individual with exceptional communication, interpersonal, and time management skills.

Key Responsibilities

Calendar Management:




Proactively manage the CEO's calendar, scheduling and rescheduling meetings, appointments, and travel. Prioritize and manage conflicting schedules effectively. Ensure the CEO is well-prepared and informed for all meetings.

Travel Arrangements:




Book and manage all domestic and international travel arrangements, including flights, accommodations, and ground transportation. Prepare travel itineraries and ensure all necessary travel documents are in order.

Vendor Coordination:




Coordinate with vendors for various services, including office supplies, catering, maintenance, and IT support. Build and maintain strong relationships with key vendors.

Communication Management:




Screen and direct phone calls and emails. Take and distribute meeting minutes accurately and efficiently. Draft and proofread correspondence, including emails, presentations, and reports.

Task Management:




Manage and prioritize the CEO's daily tasks and projects. Ensure timely completion of critical deadlines. Maintain accurate records of all tasks and projects.

Meeting Preparation:




Prepare meeting materials, including presentations, agendas, and supporting documents. Conduct thorough research and gather information as needed for meetings and presentations.

Office Management:




Oversee general office administration, including office supplies, equipment, and maintenance. Assist with special projects and events as needed.

Confidentiality:




Maintain the highest level of confidentiality regarding all company and CEO-related matters.

Key Requirements



6+ years of experience as an Executive Assistant to a senior executive, preferably in a fast-paced environment. Proven ability to manage multiple priorities and deadlines effectively. Excellent written and verbal communication and interpersonal skills. Strong organizational and time management skills, with meticulous attention to detail. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to work independently and as part of a team. Strong problem-solving and decision-making skills. Discretion and trustworthiness are paramount. Resourcefulness and the ability to think proactively. Flexibility and adaptability to changing priorities. Willingness to travel within the city as needed. Strong recommendations from previous managers.
