We are currently seeking an experienced professional to join our team in the role of Executive Assistant.

The Opportunity:

  • The job role requires effective administrative support to the department in managing day-to-day activities facilitating smooth and seamless operations. The role will be under supervision; however, the role holder will be expected to execute tasks / projects with minimum guidance.
What you\xe2\x80\x99ll do:
  • Appointment Management: Plan and organize meetings, appointments and maintain diaries as well as arrange for related logistics.
  • Visitor Management: Effectively manage visits of stakeholders by managing all associated logistics related to travel, accommodation, transfers, meetings, etc. Aid in senior executive meetings by participating as required and managing and circulating MoM.
  • Assist Senior Execs in developing presentations and collaterals as well as managing Employee Communications at a broad level.
  • Event Management: Help organizing team, process and site related activities. Be an active part of GPTW activities and play a lead role in arranging and managing large GAC wide events.
  • Travel Management: Help VPs and team members with travel arrangements by assisting in all associated logistics.
  • Support on HR activities: Assist line managers and team members in raising and managing HR queries, assisting in recruitment related activities, providing assistance to team and HR with regards to joining and resignation formalities and in general acting as a liaison between HR and the team to get issues resolved.
  • Finance and Accounts: Assist teams with expense reimbursements and manage vendor payments. Maintain financial claims and help in budgeting of the team. Support in activities related to Billing and Financial reconciliation.
  • Maintaining and updating databases: Maintaining record of necessary information related to the team, official travels, on-boarding and attrition, mailing distribution lists, organisation charts, etc.
  • Support and administrative functions: Room booking, arranging for physical access within the premises, maintaining and managing stationery etc., coordinating with other departments like L&D, IT, Communications, MCM, BCP, CRE, etc.
  • Ensure adherence with all the applicable compliance policies (Data security policy, AML, operational risk, Functional manual, Group Compliance Manual, Audit recommendations, Internal Control requirements, regulatory guidelines etc.) and business standards of Organization as applicable. Take timely action on Audit comments and be able to demonstrate compliance with Internal controls.
Management of Risk/Internal Controls/Compliance:
  • The jobholder will continually reassess the operational risks associated with the role and inherent in the business, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures and practices, management restructurings, and the impact of new technology.
  • The jobholder will also adhere to and be able to demonstrate adherence to internal controls. This will be achieved by adherence to all relevant procedures, keeping appropriate records and, where appropriate, by the timely implementation of internal and external audit points, including issues raised by external regulators.
  • The jobholder will implement the Group compliance policy by containing compliance risk in liaison with Global Head of Compliance, Global Compliance Officer, Area Compliance Officer or Local Compliance Officer. The term \xe2\x80\x98compliance\xe2\x80\x99 embraces all relevant financial services laws, rules and codes with which the business has to comply.
  • This will be achieved by adhering to all relevant processes/procedures and by liaising with Compliance department about new business initiatives at the earliest opportunity. Also and when applicable, by ensuring adequate resources are in place and training is provided, fostering a compliance culture and optimizing relations with regulators.
Requirements

What you will need to succeed in the role:
  • Bachelors or above degree from any reputed institution with at least 3 years of previous experience in similar role
  • Strong interpersonal, communication, presentation and influencing skills.
  • Efficient in excel to support various reporting & analysis within Business Management scope of activities.
  • Ability to maintain high standards despite pressing deadlines.
  • Ability to solve problems quickly and efficiently.
  • Self-starter with excellent anticipation skills; problem solving; follow up.
  • Excellent planning, organizing skills
  • Operations Management or related Business Management experience and a proven track record in delivery.
  • Highly effective in working with all levels of management and staff and in a matrix environment.
  • Ability to leverages resources outside of direct control to achieve goals.
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
