Position: Executive Assistant



Department: Office of Directors



Location: Surat



Reporting To: Founder

2. Key Responsibilities



A. Administrative & Executive Support

? Manage calendars, schedule meetings, appointments, and internal/external

engagements.

? Handle email communication, draft responses, and filter important messages.

? Prepare MIS reports, presentations, agendas, and other documents as required.

? Maintain confidentiality of sensitive information at all times.

? Coordinate with internal departments for approvals, updates, and follow-ups.

B. Travel & Logistics



? Plan and book travel, accommodation, and local conveyance for management.

? Prepare travel itineraries, track travel expenses, and maintain related documentation.

C. Communication & Coordination



? Serve as a point of contact between management and employees/clients/vendors.

? Communicate instructions from the Director to respective teams and ensure timely

follow-ups.

? Draft professional communication including letters, notices, emails, and minutes of

meetings.

D. Meeting Management



? Organize meetings, prepare agendas, and circulate relevant documents in advance.

? Record minutes of meetings (MOM) and ensure action points are tracked and closed

on time.

? Maintain an organized document repository for all meetings.

E. Data Management & Reporting



? Maintain records, agreements, policy documents, and confidential files.

? Assist in preparing monthly/weekly dashboards, reports, and project updates.

? Track deadlines, reminders, and pending tasks for management.

F. Operational & Project Support



? Assist in execution of special projects assigned by management.

? Coordinate follow-ups with cross-functional departments such as HR, Accounts,

Sales, Production, Purchase, etc.

? Support in event planning, company programs, meetings, and reviews.

3. Required Skills & Competencies



? Excellent communication skills (verbal & written).

? Strong follow-up and coordination skills.

? High level of professionalism, integrity, and confidentiality.

? Proficiency in MS Office (Excel, Word, PowerPoint).

? Time management, multitasking, and problem-solving abilities.

? Strong organizational skills with attention to detail.

? Ability to work independently and handle pressure situations.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹30,000.00 per month

Work Location: In person
