Company is seeking a highly organized and proactive Executive Assistant to support senior management and project teams. The ideal candidate will have 1-3 years of experience in administrative or executive support roles, preferably in the construction or fire safety industry. This role requires excellent communication skills, strong multitasking abilities, and discretion in handling sensitive information.
Key Responsibilities
Manage calendars, schedule meetings, site visits, and appointments.
Draft, review, and prepare letters, reports, tenders, quotations, and other project-related documents.
Handle confidential information with professionalism and discretion.
Coordinate communication between clients, vendors, consultants, and internal staff.
Assist in preparing presentations, proposals, and compliance documents for fire safety projects.
Maintain and organize electronic and physical filing systems.
Support in project coordination, including follow-ups on deadlines, submissions, and approvals.
Arrange travel coordination for site visits, meetings, and events.
Perform general office duties such as email management, phone calls, and data entry.
Provide support in maintaining safety certifications, NOCs, and regulatory compliance records.
Skills
Strong organizational and multitasking ability.
Excellent written and verbal communication skills (English, Hindi, Gujarati preferred).
Proficiency in MS Office (Word, Excel, PowerPoint) and basic documentation tools.
Ability to draft professional letters, emails, and reports.
Discretion and confidentiality in handling sensitive information.
Requirements
Education: Graduate in any discipline (Administration, Business, or Engineering background preferred).
* Experience: 1-3 years as Personal Assistant, Executive Assistant, or Office Coordinator (experience in construction/fire safety industry is a plus).
