To provide high-level administrative, organizational, and strategic support to the Managing Director (MD). The Executive Assistant acts as a gatekeeper, coordinator, and extension of the MD to ensure efficient operations, communication flow, and task follow-through.
Key Responsibilities:Administrative Support:
Manage and maintain the MD's schedule - meetings, appointments, travel, and personal tasks.
Draft, review, and manage correspondence, emails, reports, and documents.
Handle phone calls, visitors, and communication on behalf of the MD.
Organize and maintain confidential files, records, and documentation.
Meeting & Communication Management:
Prepare agendas, presentations, and minutes for internal and external meetings.
Coordinate with departments, clients, and vendors for appointments and follow-ups.
Act as a liaison between MD and internal teams, ensuring alignment and timely reporting.
Travel & Event Coordination:
Plan and book national/international travel itineraries, accommodations, and logistics.
Coordinate participation in conferences, events, or meetings, and manage registrations.
Project & Task Coordination:
Track progress on action items, business projects, and delegated assignments.
Assist the MD in monitoring KPIs and departmental reports.
Follow up with teams on deadlines, reports, and critical deliverables.
Confidentiality & Professionalism:
Handle confidential information with utmost discretion and integrity.
Represent the MD professionally in all interactions--both internal and external.
Ensure the MD is well-prepared for all meetings, briefings, and strategic decisions.
