About the Role:
We are seeking a highly organized, proactive, and detail-oriented female Executive Assistant to provide comprehensive administrative and operational support to our senior management. The ideal candidate will be a recent graduate with excellent communication and multitasking abilities, capable of working in a fast-paced environment and handling confidential information with discretion. This is a crucial role that will contribute to the smooth and efficient functioning of our daily business operations.
Key Responsibilities:
Administrative and Secretarial Support:
Provide high-level administrative support, including managing calendars, scheduling appointments, and coordinating meetings for the executive.
Communication Management:
Act as the primary point of contact for internal and external stakeholders. Screen and prioritize phone calls, emails, and correspondence.
Document and Information Management:
Draft, edit, and format documents, presentations, and reports. Maintain an organised and efficient filing system.
Travel and Logistics:
Arrange and coordinate domestic and international travel, including flights, hotels, and transportation. Prepare detailed itineraries.
Meeting Coordination:
Prepare agendas, take meeting minutes, and track action items to ensure timely completion.
Problem-Solving:
Proactively identify and resolve administrative issues to ensure a seamless workflow for the executive.
General Office Support:
Assist with various office-related tasks, including managing office supplies, handling expense reports, and providing support for special projects.
Qualifications and Skills:
Education:
Bachelor's degree (Graduate) is mandatory.
Experience:
Previous experience in an administrative or executive assistant role is preferred, but motivated fresh graduates with the right skills will be considered.
Technical Proficiency:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity software.
Soft Skills:
Exceptional verbal and written communication skills in English and Hindi. Knowledge of Punjabi is a plus.
Strong organizational and time-management skills with a keen attention to detail.
Ability to maintain a high level of discretion and confidentiality.
Proactive, resourceful, and able to work independently with minimal supervision.
Professional demeanour and a positive, collaborative attitude.
