Job Summary:
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide high-level administrative and operational support to senior leadership in our manufacturing company. The ideal candidate should possess excellent communication skills, the ability to multitask, and a solid understanding of business operations within a manufacturing or industrial environment.
Key Responsibilities:
Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements
Coordinate internal and external meetings, prepare agendas, and take minutes as required
Handle confidential information with integrity and discretion
Prepare reports, presentations, and other documents as needed
Act as a liaison between the executive office and internal departments, clients, vendors, and stakeholders
Assist in tracking key business metrics, project timelines, and departmental deliverables
Organize and maintain files, records, and correspondence
Support in vendor management, purchase orders, and coordination with procurement teams
Follow up on tasks and action items to ensure timely completion
Coordinate travel, accommodation, and logistics for the executive and visitors
Monitor emails and communication, prioritizing urgent and important matters
Assist in organizing company events, meetings, and factory/site visits
Handle special projects and assignments as directed by senior management

Administrative Support:
Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Handle incoming and outgoing communications on behalf of executives.
Meeting Coordination:
Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Ensure meeting materials are prepared and distributed in advance.
Travel Management:
Arrange and manage travel itineraries, accommodations, and transportation for executives.
Prepare and process expense reports and reimbursement requests.
Project Management:
Assist in planning and executing special projects and events as required.
Track project progress and provide regular updates to the executive team.
Office Management:
Oversee office supplies and equipment, ensuring availability and functionality.
Liaise with vendors and service providers to ensure smooth office operations.
Confidentiality:
Handle sensitive information with the highest level of confidentiality and discretion.
Requirements:
Bachelor's degree
Minimum 3-5 years of experience as an Executive Assistant, preferably in a manufacturing or industrial company
Excellent verbal and written communication skills (English, Hindi, and local language preferred)
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
Strong organizational and time-management skills
Ability to handle multiple tasks under pressure
Discretion and confidentiality are a must
Familiarity with manufacturing processes or terminology is an advantage
