The Executive & Operations Assistant supports the firm's leadership team (Managing Partner, Partners, and Operations Manager) by providing high-level administrative, operational, and organizational assistance. This role ensures smooth day-to-day operations, supports attorney workflow, and contributes to internal process efficiency. The ideal candidate is detail-oriented, proactive, and capable of handling confidential legal and business information with discretion.
Key Responsibilities:
1. Executive Support
Provide comprehensive administrative support to partners and senior attorneys
Manage calendars, meetings, hearings, and appointments
Prepare briefing materials for internal and client meetings
Draft, proofread, and edit correspondence, memos, and reports
Coordinate travel arrangements, itineraries, expenses, and reimbursements
Act as a liaison between executives, clients, staff, and external stakeholders
2. Operations & Office Management
Assist with day-to-day law firm operations and workflow coordination
Maintain office inventory, supplies, and vendor relationships
Support implementation of firm procedures, policies, and operational improvements
Help onboard new employees, ensuring they have required tools and access
Coordinate internal meetings, training sessions, and firm events
3. Administrative Support
Organize documents, filings, and case materials
Manage electronic and physical filing systems
Support billing processes: time entry, invoice preparation, and client follow-ups
Assist in arranging documents for hearings, depositions, and client meetings
4. Communication & Client Coordination
Coordinate as a point of contact for scheduling and administrative matters
Communicate professionally with clients, courts, external counsel, and vendors
Handle incoming communications and direct inquiries appropriately
Ensure timely updates, follow-ups, and client service support
5. Project & Workflow Management
Track key deadlines, deliverables, and multi-attorney task lists
Support operational projects such as system upgrades, audits, compliance updates
Assist in preparing operational reports and performance dashboards
Ensure smooth coordination across departments and practice groups
Qualifications:
Education & Experience
Bachelor's or post graduate degree preferred (Business, Legal Studies, or related field)
6 plus years of experience as an Executive Assistant, Legal Assistant, or Operations Coordinator (law firm experience preferred)
Skills & Competencies
Strong understanding of legal office environments and terminology
Excellent written and verbal communication skills
Highly organized, with strong multitasking and prioritization abilities
Ability to maintain strict confidentiality
Problem-solving mindset and proactive approach
Strong proficiency with MS Office, Google Workspace, and legal practice software
