The Executive Assistant will provide comprehensive support to the Managing Director and handle key administrative and coordination tasks across departments. The role requires excellent communication, multitasking ability, and strong organizational skills to ensure smooth business operations and efficient time management for the MD.
Key Responsibilities:
1. Executive Assistance to Managing Director
Manage MD's calendar, schedule meetings, and coordinate appointments.
Prepare and organize reports, presentations, and internal/external communication.
Handle confidential information with discretion and professionalism.
Coordinate business correspondence, travel itineraries, and accommodation.
Record minutes of meetings and ensure timely follow-ups on action items.
Maintain smooth communication between MD and various departments.
Assist in reviewing important documents, quotations, and business proposals.
2. Administrative Support
Oversee office administration, housekeeping, stationery, and asset management.
Maintain employee attendance, leave records, and basic HR coordination.
Manage vendor coordination for office needs and service contracts.
Support recruitment, onboarding, and employee documentation.
Handle internal communications, notices, and circulars.
Ensure smooth functioning of office operations and staff discipline.
3. Coordination & Reporting
Liaise with factory and sales teams for updates and reports.
Support coordination between MD, clients, and suppliers when needed.
Track pending tasks, payments, and follow-ups assigned by MD.
Prepare daily/weekly activity reports and dashboards for management review.
Desired Candidate Profile:
Graduate / Post Graduate in Business Administration or related field.
2-5 years of experience as Executive Assistant, Personal Assistant, or Admin Officer.
Excellent verbal and written communication skills (English & Hindi).
Proficient in MS Office (Word, Excel, PowerPoint) and email drafting.
Strong organizational and time management skills.
High level of integrity, confidentiality, and professionalism.
