As an Executive Assistant, you will provide high-level administrative support to executives by conducting research, preparing statistical reports, handling information requests, and performing clerical functions.
Duties
Manage and maintain executives' schedules
Organize meetings, conferences, and travel arrangements
Prepare reports, memos, letters, and other documents
Conduct research and compile data to prepare reports and documents
Perform data entry tasks
File and retrieve corporate records, documents, and reports
Answer and manage incoming calls
Provide customer service to clients and guests
Perform clerical functions such as drafting correspondence and organizing files
Proficiency in Google Suite for document management and collaboration
Strong customer service skills for interacting with clients and guests
Excellent data entry capabilities for maintaining accurate records
Clerical skills for organizing files and documents efficiently
Exceptional organizational abilities to manage executives' schedules effectively
Experience providing executive administrative support in a professional setting
Proficiency in using Outlook Calendar for scheduling appointments and meetings
Strong administrative skills to handle various tasks effectively
Ability to act as a personal assistant to executives by managing their daily activities
Manage and maintain executive's calendar, including scheduling appointments, meetings, and travel.
Handle all communications with efficiency and professionalism, including emails, calls, and messages.
Coordinate and prepare materials for meetings, take minutes, and track action items.
Arrange domestic and international travel, including visas, accommodation, and detailed itineraries.
Draft, proofread, and format reports, presentations, and correspondence.
Maintain confidential records and filing systems.
Liaise with other departments and external partners as directed.
Assist with special projects and events as needed.
Manage expense reports and reimbursements.
Qualifications & Skills:
Bachelor's degree in Business Administration or a related field (preferred).
2+ years of experience in an executive assistant or administrative role.
Excellent written and verbal communication skills.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask, prioritize, and manage time effectively.
High degree of professionalism and discretion.
Strong problem-solving and decision-making abilities.
