Job Title: Executive Assistant

Department: Marketing

Location: Chennai, India

Hours: 2PM to 11PM (US India Cross Over Role)

Position Overview:

As an Executive Assistant at Experience.com, you will play a pivotal role as an assistant to the Head of Marketing, providing comprehensive organizational and communication support to ensure the efficient operation of the marketing department. This role is critical for maintaining continuity, facilitating reporting, building presentations, and fostering effective communication within the marketing team and with external stakeholders.

Key Responsibilities:

Communication:

  • Act as the primary point of contact for the Head of Marketing, handling all internal and external communications on their behalf.
  • Prioritize and manage incoming emails, messages, and communication channels to ensure prompt responses and effective message organization.
  • Facilitate communication and collaboration between the Head of Marketing and other team members, departments, and external partners.
Prioritization:
  • Assist the Head of Marketing in prioritizing tasks, projects, and initiatives based on strategic goals and deadlines.
  • Ensure that critical tasks and projects receive the necessary attention and resources to meet objectives.
Vendor Relations:
  • Manage vendor relationships, including communication, negotiation, and contract management, in collaboration with the Head of Marketing.
  • Assist in sourcing and selecting vendors for marketing-related projects.
Travel:
  • Coordinate all travel arrangements for the Head of Marketing, including booking flights, accommodations, transportation, and itineraries.
  • Ensure that travel plans align with the marketing department\'s objectives and commitments.
Alignment Document:
  • Collaborate with the Head of Marketing to develop and maintain marketing alignment documents that clearly outline departmental goals and their alignment with the overall company strategy.
  • Update alignment documents as needed to reflect changing priorities and objectives.
Metrics Reporting:
  • Generate and maintain reports on marketing performance, tracking key metrics and KPIs.
  • Collaborate with the marketing team to collect and analyze data for reporting purposes.
  • Provide insights and recommendations based on data analysis.
Sprint Kick Off:
  • Organize and facilitate sprint kick-off meetings to ensure all team members understand project objectives, timelines, and responsibilities.
  • Maintain sprint documents to keep marketing projects on track and document progress.
Scheduling and Meeting Management:
  • Schedule and manage all meetings for the Head of Marketing, including standard weekly and bi-weekly meetings.
  • Coordinate with team members and external parties to ensure timely and efficient meetings.
  • Take comprehensive notes during meetings and provide summaries as needed.
Marketing Commits Organization, Prioritization, Communication, and Reporting:
  • Organize marketing commits, prioritize them based on strategic objectives, and communicate them to the relevant team members.
  • Collaborate with the Head of Marketing to ensure that commits align with departmental and company-wide strategies.
  • Maintain a comprehensive record of marketing commits and their status, reporting on progress regularly.
Qualifications:
  • Bachelor\'s degree in Marketing, Business Administration, or a related field (Master\'s degree preferred).
  • Proven experience in a similar role, preferably in a marketing or administrative capacity.
  • Exceptional organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in productivity tools and software (e.g., Microsoft Office Suite, Google Workspace).
  • Detail-oriented with the ability to work independently and as part of a team.
  • Flexibility to work during afternoon India time (2 PM to 11 PM Chennai time zone) and attend meetings off-hours as required.
