Provide outstanding communication and administrative support to the CEO that ensures high level of responsiveness Responsible for calendar management, information gathering and doing research activity as directed by the CEO. Updating departmental reports; including collection of information and preparation of MIS reports, process sheets and arranging regular reviews. Organise office systems, maintain databases/visiting cards folder/create and maintain filing system. Able to handle administrative responsibilities within the office Organise periodic review meetings with the VPs/ Executive Management and participate in the same for recording MoM and circulate Action Plans for the deviations Format information for internal and external communication - memos, emails, presentations, reports on behalf of the CEO Facility/Admin Manage & Upkeep of office infrastructure & facilities Ensure operation of office equipment, order maintenance when necessary Liaise with travel partners, including airlines and hotels, to manage bookings and schedules Collaborate with travel agents & hotels to tie up with the company Arranging & coordinating for Travel, Ticketing, VISA as and when required Maintain quality filing and communications systems including contact management, document management, and archiving Managing facilities related outsourced contracts, AMCs, stock management Employee Engagement: Co-ordinate and organise all employee engagement activities like team lunch, Rewards & Recognition programs Will be responsible to plan and execute departmental off-site events Will manage, escalate and resolve key location specific issues which affect multiple team members (space, access, IT etc) Coordinates new employee office set-ups and provide travel assistance, if needed
