We are seeking a
highly trusted Executive Assistant (EA)
who will act as an
extension of leadership
--taking ownership of administrative, operational, and support activities while ensuring smooth coordination across teams. Purpose of the Role
The primary goal of the Executive Assistant is to
maximize leadership productivity
by managing day-to-day operational, administrative, and coordination tasks. The EA ensures that priorities are well-organized, meetings are efficient, stakeholders are aligned, and execution is smooth--allowing leadership to focus on business growth, strategic initiatives, and client relationships.
This is not just an administrative position. The EA will function as a
key liaison
between leadership and stakeholders--internal (teams, managers) and external (clients, partners, vendors)--driving clarity, accountability, and timely execution.
Key ResponsibilitiesMeetings & Coordination
Join leadership in all critical meetings and client calls (~70%) to document key points and action items.
Review recordings of missed meetings to ensure complete alignment and follow-through.
Maintain leadership's To-Do lists, ensuring priorities are tracked, delegated, and executed on time.
Anticipate upcoming deadlines and proactively prepare for them.
Coordinate with internal teams and external stakeholders to close the loop on deliverables.
Manage competing priorities effectively, renegotiating deadlines and expectations when necessary.
Administrative & Operational Support
Manage complex calendars, schedule meetings, and optimize daily workflow.
Ensure leadership's inbox remains organized with clear follow-up actions (email hygiene).
Draft and proofread professional emails, proposals, and internal/external communication.
Keep systems (CRM, trackers, documentation) updated with accurate data.
Sales & Delivery Support
Keep the CRM updated with pipeline progress, client interactions, and deal statuses.
Draft, edit, and maintain client proposals and contracts.
Prepare and send invoices to clients, ensuring timely follow-ups on payments.
Track delivery commitments and milestones, supporting project managers in alignment with leadership expectations.
Project & Reporting Support
Track progress across multiple ongoing projects, updating systems and trackers consistently.
Follow up with cross-functional stakeholders (Sales, Delivery, Vendors).
Identify risks, bottlenecks, and delays early; escalate or resolve proactively.
Prepare structured weekly and monthly reports for leadership review.
Update hiring plans in line with client and project requirements, and share them with stakeholders for alignment and execution.
What We're Looking For
Experience:
3-5 years in administration, project coordination, support, or operations (experience in IT/consulting firms preferred).
Communication:
Exceptional verbal and written communication skills, with a proven ability to write professional, client-facing emails.
Organization:
Excellent prioritization, time management, and multitasking skills; able to manage multiple ongoing priorities simultaneously.
Tech-savvy:
Strong proficiency in MS Office (Word, Excel, PowerPoint) and productivity tools such as Google Workspace, CRMs, Trello/Asana, and To-Do list apps.
Proactive:
Able to anticipate needs, identify gaps, and resolve issues without constant direction.
Stakeholder Management:
Confident in coordinating with senior leaders, clients, and vendors while maintaining professionalism and tact.
Confidentiality:
High level of discretion and trustworthiness when handling sensitive business and employee information.
Adaptability:
Comfortable working in a high-growth, fast-paced environment with shifting priorities.
