About the Role:

We are seeking a proactive, detail-oriented, and trustworthy Executive Assistant to support business operations across multiple industries, including service and retail-based businesses. The role involves monitoring daily performance, preparing reports, coordinating tasks, and supporting management with administrative and growth-focused initiatives.

This is a long-term position for someone who wants to grow alongside the business and become a trusted part of the leadership team.

Key Responsibilities:

Monitor and track daily sales, expenses, and operational performance from multiple business units. Prepare summaries, dashboards, and analytical reports highlighting trends, issues, and opportunities. Assist with administrative coordination, vendor follow-ups, and staff communications when needed. Provide support in marketing efforts (social media coordination, online presence, promotions). Act as a liaison between management and operational teams to ensure smooth workflows. Maintain confidentiality of all company and financial information. Take initiative to suggest process improvements and growth opportunities. Manage calendars, reminders, and follow-ups for management. Perform other ad-hoc tasks to support daily operations and long-term growth strategies.
Qualifications & Skills:

Bachelor's degree in Business Administration, Commerce, Management, or a related field (Master's/MBA preferred but not required). 2-5 years of experience as an Executive Assistant, Operations Coordinator, or Administrative Manager (remote or onsite). Strong proficiency in MS Excel / Google Sheets, reporting tools, and online collaboration platforms (Google Workspace, WhatsApp/Slack, etc.). Excellent English communication skills (spoken and written). Highly organized, analytical, and detail-oriented. Ability to multi-task, prioritize, and meet deadlines independently. Strong integrity and confidentiality with company-sensitive data. Proactive mindset with the ability to anticipate needs and solve problems without constant direction.
Preferred Qualities:

Previous exposure to operations in service industries (e.g., retail, hospitality, automotive, or food & beverage). Experience preparing management reports and insights. Tech-savvy with the ability to quickly learn new tools and systems. Long-term career mindset; seeking stability and growth.
