Candidate Profile We are looking for a competent Executive Assistant to provide calendar and administrative support in a well-organized and timely manner. This involves supporting variety of tasks for executives co-located in North America, alongside supporting some of the efforts at organizational scale. Key Responsibilities

  • Act as point of contact for assigned executives and internal/external clients
  • Coordinate complex scheduling and extensive calendar management: Undertaking the tasks of calendar management, from scheduling meetings (Internal and External), managing conflicts and rescheduling meetings, routing correspondence messages etc.
  • Meeting scheduling - Ensure ‘needed’ participants have committed and attend – validate Quorum. Manage all changes ahead of time and pass timely updates
  • Handling requests and queries accordingly, keeping check on actions and communicating back with stakeholders
  • Travel Arrangements – Work with appropriate teams to line up the booking details, accompanying travel documents/ papers and other relevant information
  • Event Logistics / Off Site Coordination – Work with stakeholders to share insights and coordinate all off-sites at organizational scale.
  • Compute and verify data, expenses or payments - Keep a check on spend and share insights on optimizing and improving practices. Further assist in filing expenses for sales team members.
  • Data Analytics - Support organizational efforts on data mining, analysis and report out
Skills and Qualifications
EDUCATION
  • Graduation or above

PERSONALITY TRAITS DESIRED
  • Proven experience as an executive supporting the senior staff
  • Anticipating needs and taking ownership of Planning and Execution
  • Full comprehension understanding of the role detailing Execution Excellence & Accountability
  • Outstanding organizational skills and Exemplary planning and time management skills
  • Excellent communication skills with ability to multitask and prioritize daily workload
  • Ability to work in a matrixed team environment, with added flexibility to work at all levels at Quest to get the job done
  • Excellent knowledge of MS Office – Outlook, Word and Excel in particular
  • Maintain confidentiality and know how to share limited information as needed to get the communication

Physical Requirements & Work Environment:

  • Mostly Office Environments, Occasional Shop Floor involvement.
  • Substantial amounts of telephone and computer work.
  • Heavily Regulated Industries with strict adherence to procedures.
  • Flexibility to meet business deadlines by staying late or arriving early.
  • Typical 8 hour days plus lunch / 40 hour weeks / core (required) hours are 9AM to 4PM
  • Ability to use personal transportation to visit customer locations.
  • Due to the nature of the work, all candidates must be a U.S. Citizen or Permanent Resident.
