We are seeking a highly organized and detail-oriented
Executive Administrative Assistant
with strong
bookkeeping and operational support skills
. This role supports executive leadership by managing email communications, maintaining financial records, coordinating tasks, and ensuring smooth day-to-day administrative operations across multiple teams.
This is a
hands-on execution role
, ideal for someone who thrives in structured environments, can independently manage priorities, and is comfortable working with U.S.-based leadership during U.S. business hours.
Key ResponsibilitiesExecutive & Administrative Support
Manage and maintain a
clean, organized executive email inbox
Review, draft, and respond to emails on behalf of leadership when appropriate
Set reminders, calendar events, and follow-ups for deadlines, meetings, and commitments
Prepare basic documents, summaries, and internal communications
Track action items from meetings and ensure follow-through
Bookkeeping & Financial Administration
Create and send
invoices
accurately and on time
Track payments, outstanding invoices, and follow up as needed
Maintain basic bookkeeping records (income, expenses, reconciliations)
Organize financial documents and receipts
Coordinate with external accountants or finance managers as required
Ensure records are audit-ready and well-documented
Task & Operations Management
Organize, assign, and monitor tasks using
Monday.com
Follow up with team members to ensure tasks are completed on time
Maintain operational dashboards and status updates
Escalate delays or issues proactively to leadership
Help improve internal workflows and documentation
Organization & Systems
Maintain digital filing systems (Google Drive / cloud-based tools)
Keep SOPs, trackers, and internal logs updated
Assist with process improvements and system optimization
Ensure confidentiality and data security at all times
Required Qualifications
3+ years experience in
administrative support, executive assistance, or operations
Proven experience with
basic bookkeeping or accounting tasks
Strong written and verbal
English communication skills
Experience working with
U.S.-based clients or leadership
Proficiency with:
Email management (Gmail/Outlook)
Google Workspace (Docs, Sheets, Drive)
Task/project tools (Monday.com preferred)
Invoicing tools or spreadsheets
High attention to detail and strong organizational skills
Ability to work independently and manage multiple priorities
Preferred Qualifications
Experience supporting C-level executives or founders
Familiarity with U.S. business operations and time zones
Prior experience in healthcare, professional services, or staffing environments
Basic understanding of invoicing, AR/AP, and expense tracking

Pay: ?20,000.00 - ?30,000.00 per month
