Administrator will be responsible for overseeing and managing all administrative functions of the organization. This role ensures smooth day-to-day office operations, vendor management, compliance, cost optimization, employee support services, and strategic initiatives to enhance workplace efficiency. The Manager will also lead and guide the admin team to maintain a productive and professional work environment.

Key Responsibilities: Operations & Office Management



Oversee and manage all aspects of office administration including facilities, housekeeping, front desk, security, and workplace safety. Ensure smooth day-to-day functioning of office operations across departments. Implement and monitor office policies, processes, and compliance requirements. Manage company assets, office supplies, and ensure cost-effective procurement.

Vendor & Contract Management



Identify, negotiate, and manage contracts with external vendors (facilities, security, travel, housekeeping, printing, etc.). Conduct regular performance reviews of vendors and service providers. Ensure compliance with statutory and legal requirements in contracts and services.

Financial & Budgeting



Prepare and manage the administration budget, ensuring cost optimization. Monitor and approve invoices related to administration, facilities, and services. Maintain records for petty cash, expense management, and periodic reporting to management.

People & Stakeholder Management



Act as a point of contact between management, employees, and external stakeholders. Ensure timely communication and resolution of administrative issues. Supervise and mentor the administration team; assign tasks and monitor performance.

HR & Compliance Support



Collaborate with HR for attendance, employee engagement, and welfare-related initiatives. Ensure compliance with workplace health & safety regulations. Support senior management in confidential administrative and HR tasks.

Requirements:



Strong leadership, planning, and organizational skills.

Familiarity with

basic legal compliance, contract management, and statutory obligations.



Understanding of

IT infrastructure, data security and office automation tools.



Excellent negotiation and vendor management abilities.

Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

Strong interpersonal, written, and verbal communication skills.

Problem-solving and decision-making capabilities.

Knowledge of statutory and compliance requirements related to administration.
