We are looking for a proactive and detail-oriented
Admin & Operations Executive
to manage day-to-day administrative and operational activities at the office. The role involves coordination with internal teams and external vendors to ensure smooth office operations, compliance, safety, and employee convenience.
Key Responsibilities:
Administration & Office Operations:
Oversee
housekeeping operations
to ensure office cleanliness and hygiene.
Manage
office maintenance
, including electrical, and general upkeep.
Monitor and maintain
coffee machines, pantry supplies, and consumables
.
Maintain
office asset records
including laptops, mobile devices, furniture, and other infrastructure.
Security & Compliance:
Manage
CCTV monitoring and maintenance
in coordination with vendors.
Oversee
fire extinguisher maintenance
, compliance checks, and safety audits.
Handle
UPS management
and ensure power backup systems are functional.
Manage and maintain the
biometric attendance system
.
IT & Communication Assets:
Maintain
SIM card and mobile number records
.
Track issuance, return, and documentation of mobile devices and SIM cards.
Coordinate with IT/vendors for asset movement and records.
Vendor & Facility Management:
Coordinate with vendors for housekeeping, maintenance, security, pantry, and other services.
Handle
vendor negotiations
, renewals, and service-level compliance.
Track AMC contracts and vendor payments in coordination with finance.
Travel & Event Management:
Handle
travel bookings
(flights, hotels, local conveyance) for employees as per policy.
Support
event management
, including internal events, meetings, and office celebrations.
Coordinate logistics, vendors, and materials for events.
Documentation & Reporting:
Maintain accurate
records, logs, and reports
related to assets, vendors, and facilities.
Ensure documentation is updated and available for audits or internal reviews.
Required Skills & Qualifications:
Bachelor's degree in any discipline.
1-2 years of experience in
administration, facilities, or operations
.
Strong coordination, negotiation, and vendor management skills.
Good communication skills (verbal and written).
Proficient in MS Excel and basic documentation.
Highly organized, proactive, and able to multitask.
Ability to work independently and handle pressure in a fast-paced environment.
Job Types: Full-time, Permanent
