Primary Role
An Event Assistant supports the Event Manager or Coordinator in planning, organizing, and executing events smoothly. They handle logistics, communication, and on-the-day support to ensure everything runs according to plan.
Key Responsibilities
Pre-Event Planning
Assist in *venue research and booking.
Coordinate with vendors(caterers, decorators, sound & lighting, etc.).
Help prepare budgets and purchase orders*.
Manage guest lists, RSVPs, and invitations*.
Support in creating event schedules and checklists*.
Organize and maintain event materials(banners, gifts, brochures, badges).
During the Event
Assist with event setup (registration desk, signage, seating, tech setup).
Greet and *register guests or participants.
Coordinate with vendors and staff for real-time issue resolution.
Ensure timely execution of activities as per the event plan.
Provide backstage or on-ground support for speakers, performers, or VIPs.
Manage logistics and supplies during the event.
Post-Event Duties
Assist with event wrap-up and teardown.
Help collect feedback from attendees or team members.
Compile event reports and documentation.
Process payments and receipts for vendors.
Contribute to post-event evaluations and learnings.
Skills Required
Strong organizational and multitasking abilities.
Excellent *communication and teamwork.
Attention to detail and *problem-solving skills.
Basic knowledge of event management software/tools (e.g., Trello, Google Sheets, Canva).
Professional demeanor and customer service orientation.
Reporting Structure
Reports to: Event Manager / Coordinator
Works closely with: Vendors, Marketing Team, and Logistics Team
Job Types: Full-time, Permanent
Pay: ₹20,000.00 - ₹25,000.00 per month
