As a leading provider of Public Safety Software, First Due hosts and participates in high-impact events across the country. We're seeking an experienced, strategic, and detail-oriented Events Specialist to lead planning and execution of Tier 2 events--conferences and trade shows with enhanced sponsorships, speaking engagements, networking activations, and on-site branding opportunities.
Reporting to the Events Manager, you'll be responsible for managing these mid-tier events end-to-end, collaborating across departments, vendors, and industry partners to ensure each activation strengthens the First Due brand and delivers measurable ROI.
Key Responsibilities:
Tier 2 Event Ownership:
Serve as project lead for Tier 2 events, from research and contract review to execution and post-show follow-up
Manage timelines, budgets, and run-of-show documents for each assigned event
Oversee deliverables tied to sponsorships (speaking sessions, branded materials, VIP events, etc.)
Collaborate with internal stakeholders (Sales, Client Success, Marketing, Leadership) to align event strategy with company goals
Vendor & Sponsorship Management:
Coordinate with external partners on enhanced branding assets, booth design, and on-site activations
Work with event organizers to maximize value from sponsorship packages and negotiate deliverables
Liaise with the Creative and Content teams to produce graphics, signage, and presentation materials
Onsite Event Execution:
Travel to select events for onsite management of booth setup, registration, sponsor activities, and staff coordination
Serve as point-of-contact for all logistical and brand-related needs during Tier 2 events
Systems, Reporting & Admin:
Input and maintain detailed event records in CRM and shared tools (e.g., AirTable, Notion)
Support data capture efforts during and after events for lead routing and ROI reporting
Manage shipping, inventory, and asset needs in partnership with the Event Marketing Coordinator
Support pre- and post-event communication with external vendors and internal teams
Qualifications:
2-4 years of experience in event planning, trade show management, or experiential marketing
Demonstrated success managing multi-channel events with sponsorship components
Strong organizational and project management skills, with an eye for branding and user experience
Excellent written and verbal communication skills
Comfortable working with tools like Zoho, AirTable, Notion, Google Suite, Microsoft Office
Ability to travel 20-30% of the year
Preferred Attributes:
B2B SaaS or technology experience
Familiarity with conference sponsorship negotiations and execution
Confidence navigating fast-paced, cross-functional teams
