Role Overview
We're looking for a
hands-on, organised, and execution-focused fresher / junior hire
to join us as an
Event Project Coordinator
. This role is all about
supporting and managing on-ground wedding execution
, especially on the event day.You will be stationed
on-site during events
, coordinating with vendors, suppliers, warehouse teams, and labour to ensure the decor is installed exactly as planned and on time.This role is ideal for someone who enjoys being on the field, learning how large events come together, and taking responsibility for real-world execution.
Roles And Responsibilities
1. Pre-Event Preparation & Coordination
Understand the final decor plan and event layout
Coordinate with the warehouse team to: Check material readiness, Confirm dispatch and delivery timelines
Support vendor and supplier coordination by: Sharing schedules, Confirming arrival times, Help ensure all required materials and tools are ready before event day
2. On-Site Setup & Execution
Be present on-site during event setup
Coordinate and guide
on-ground labour teams
Assist in supervising decor installation as per the approved plan
Track timelines and flag delays or issues early
Help solve last-minute problems with support from senior team members
3. Vendor & Team Coordination
Act as a coordination point between: Vendors, Warehouse, Labour teams, Internal planning and design teams
Ensure everyone follows the agreed layout, plan, and schedule
4. Quality Checks & Event Readiness
Help check final setups for: Correct placement, Finishing and cleanliness
Ensure the decor matches what was sold in the package
Support smooth handover before the client walk-through
5. Post-Event Support
Assist with dismantling and packing of decor
Ensure materials are returned safely to the warehouse
Help report any damages or missing items post event
Who this Role is for
Fresher or
0-1 year of work experience
Background or interest in: Events, Operations, Hospitality, Project coordination
Comfortable working on-site and on event days
Willing to work long hours when required
Organised, proactive, and eager to learn
Basic communication skills (English + local language preferred)
