Job Summary
The Event Operations Project Manager supports the Events Department by orchestrating all operational, logistical, and production elements needed to deliver large-scale, in-person events (domestic & international) including vendor and venue management, travel coordination, global shipments, budget tracking, and ensuring excellent client & sponsor communication.
Responsibilities (including but not limited to)

• Plan, execute, and oversee large-scale physical events (domestic and international) with attendee volumes of up to 6,000+.
• Lead end-to-end event production, including stage and booth design, creative concept development, and flawless execution of production deliverables.
• Manage vendor relationships from sourcing and negotiation through contracting and finalization--covering venues, hotels, production houses, logistics providers, and other key partners.
• Drive cost optimization across all event components, including hotels, production (booths, stages, branding), vendor contracts, logistics, travel, documentation, and global shipments.
• Conduct market research on venues, pricing, and emerging event trends, going beyond existing vendor networks to identify new opportunities.
• Collaborate cross-functionally with internal design, production, and operations teams to ensure seamless event delivery.
• Oversee event budgets, monitor expenses, and ensure adherence to financial targets.
• Supervise logistics management, including travel coordination, transport, and on-site requirements.
• Maintain and track event and office asset inventories to ensure efficient resource management.
• Support virtual event recordings as needed, though this is not a primary responsibility.

Qualification Requirements

• Bachelor's degree or higher in Marketing or other related fields.
• 4+ years of professional work experience in event operations, vendor management, event logistics management etc.
• Effectiveness working independently as well as collectively with team as needed.
• Exceptional time management and organizational skills; able to prioritize multiple concurrent projects while on tight deadlines.
• Proficiency in the use of MS Office.
• Extreme detail-orientation and analytical skills.
• Strong verbal and written communication skills are a must.
• The ability to work well in a fast paced media environment.
