Objectives

Swiss Re continues to enhance the Corporate Real Estate & Services (CRES) functions to better align with business needs in the region and global operating model. As Event Manager APAC you will create value through delivery of professional event management services and evolve Conference & Event (C&E) services across India.

Balance strategic and operational responsibilities;

  • Create value to our customers (Swiss Re) by collaborating with other departments and our clients to generate solutions.
  • Provide Event Management expertise for events in India.
  • Support Lead Event Management APAC for the APAC wide events and event documentation/ data management.
Responsibilities

C&E Management & Operations:
  • Responsible for management and delivery of events in India. (Swiss Re and non-Swiss Re locations)
  • Advise, develop, plan, coordinate and execute events as per the CRES Service Catalogue.
  • Partner with the event organiser/ requester to ensure the collaborative success of the event
  • Recommend feasible solutions
  • Maintain event budgeting
  • Familiarise and know-how of the event tools in Swiss Re (MS Teams Live Event, MS Teams meeting, MS Dynamic, MS Teams Form, Sli.do, Qualtrics etc.)
  • Analyse event success and share opportunities for improvement
  • Work closely and maintain a harmonious working relationship within CRES as well as other departments such as Communications, Multi-Media Services (MMS), Information Technology (IT), Digital Workplace (DWP)
C&E Network:
  • Promote Conference & Events services among customers
  • Build, maintain and engage in stakeholder (business) relationships
  • Partner with Group Communications and Strategy & Operations to maintain a holistic event landscape
  • Create and maintain vendor/ supplier relations
  • Identify opportunities for continuous process improvement and best practices
  • Remain ahead of market trends and tools
  • Respond event request via Contact One event platform timely
  • Backfill for C&E Network when required
  • Work cohesively in the CRES APAC team, supporting each other
C&E Data Management:
  • Updating APAC Events calendar regularly. Take follow up action with C&E members to ensure calendar is up to date.
  • Maintaining APAC Events list with update information and follow up with C&E members if missing information
  • Assist Lead Event Management APAC to consolidate event data for analyse
  • Monitoring C&E tickets, ensure team member close ticket in timely manner
  • Support C&E team and business on managing invitation on MS Dynamic (power user)
Support Lead Event Management APAC and Event Manager APAC with event delivery in other sub-regions as required.

Competencies
  • Minimum 8 years\' experience as an event planner/ manager, in an event agency, conference or corporate environment
  • Experience working with others (customers and vendors) in different countries
  • Ability to lead and manage complex events with confidence
  • Confident in managing events with Senior Management
  • Good knowledge about the event industry and trends
  • Proficiency in Microsoft applications (Word, PowerPoint, Excel, Teams and Outlook). Advanced Excel data processing skill would be required. Knowledge on managing SharePoint will be an advantage.
  • Experience in handling data would be an advantage
  • Proficiency in market known events tools (MS Teams Live Event, MS Teams meeting, MS Dynamic, MS Teams Form, Sli.do, Qualtrics etc.). Previous experience in managing invitation tool would be an advantage
  • A flair for new technologies
  • Fluent in English. Proficiency in another APAC language an advantage
  • Ability to multi-task and adapt to changing environments
  • Customer service attitude with flexible mindset
  • Excellent organisational skills and efficient working style
  • Ability to meet deadlines with a high degree of efficiency and attention to detail
  • Good time management and communication skills
  • Positive team player and able to work independently
  • Strong negotiating skills
  • Think strategically and work proactively to provide solutions to solve problems
