The Role
We are seeking a Front Desk Executive to be the first point of contact for our visitors and clients. This role is responsible for managing front desk operations, answering and directing calls, scheduling appointments, and providing essential administrative support to staff and executives. The ideal candidate will handle day-to-day tasks with efficiency and professionalism, ensuring excellent service for both internal teams and external guests. The ideal candidate will have excellent communication skills, strong organizational abilities, and a positive, customer-focused attitude.
Key Responsibilities
Warmly greet and assist visitors, ensuring a professional and welcoming first impression.
Answer and route incoming phone calls promptly; relay messages accurately when needed.
Manage calendars, schedule appointments, and coordinate meetings for staff and executives.
Uphold office security protocols, including monitoring visitor logbooks and controlling access.
Handle all incoming and outgoing correspondence, packages, and deliveries efficiently.
Monitor and maintain office supply levels; place orders as required to ensure smooth operations.
Provide general administrative support such as data entry, document preparation, and filing.
Liaise with other departments to facilitate seamless daily office operations.
Oversee the tidiness and maintenance of the reception area and report any facility needs.
Offer information and assistance to visitors and clients in a courteous and helpful manner.
Manage shared calendars and coordinate booking of conference rooms and meeting spaces.
