Event Executive - Role Overview

The Event Executive is responsible for planning, executing, and managing both online and offline events with high efficiency and professionalism. The role requires strong communication, coordination, and technological skills to ensure seamless event experiences and strong stakeholder relationships.

Key Responsibilities

1. Event Planning & Strategy

Understand event objectives and design appropriate event formats (online/offline/hybrid).
Develop event plans, timelines, run-sheets, and execution strategies.
Coordinate with internal teams to align event goals with brand and audience needs.
2. Online Event Management

Host and moderate events on Zoom, Google Meet, Microsoft Teams or webinar platforms.
Manage virtual interactions, breakout rooms, Q&A, chat moderation, polls, and presentations.
Ensure smooth technical flow: screen sharing, speaker onboarding, audio/video checks.
Troubleshoot live issues and provide real-time support.
Coordinate with speakers, panelists, and attendees before and during events.
3. Offline Event Management

Plan and manage venue selection, layout, seating, decor, staging, and technical setups.
Coordinate with vendors: sound, lighting, catering, photography, branding, logistics.
Oversee registrations, guest handling, and on-ground coordination.
Manage end-to-end execution, ensuring smooth flow and timely delivery.
Handle last-minute changes, unexpected situations, and crisis management.
4. Communication & Relationship Management

Strong verbal and written communication with clients, vendors, partners, and internal teams.
Build and maintain long-term relationships with stakeholders.
Assist speakers, guests, and VIP participants with all event-related needs.
Provide pre-event and post-event communication, follow-ups, and thank-you notes.
5. Vendor & Partner Coordination

Identify, negotiate, and manage vendors (venue, decor, tech team, catering, printing, etc.)
Ensure competitive pricing while maintaining quality.
Maintain a vendor database and evaluate performance regularly.
Oversee contract agreements, payments, and deliverables.
6. Event Promotion & Audience Engagement

Coordinate with marketing teams for event promotions.
Manage email invites, reminders, registration forms, and attendee lists.
Use engagement tools for polls, quizzes, feedback forms, and surveys.
7. Operations, Logistics & Admin

Prepare budgets, track expenses, and ensure cost-effective execution.
Handle event checklists, compliance requirements, permissions, and safety protocols.
Maintain event reports, post-event analysis, feedback summaries, and ROI tracking.

Pay: ?20,000.00 - ?30,000.00 per month
