The Event Coordinator plays a key role in planning, coordinating, and executing events hosted at the convention center. This includes liaising with clients, vendors, and internal departments to ensure all event details are executed smoothly and in line with client expectations and venue standards. The role requires strong organizational, communication, and customer service skills to deliver exceptional event experiences.
Key Responsibilities:
Client & Event Management:
Serve as the primary point of contact for assigned clients from booking confirmation to post-event follow-up.
Conduct site tours and pre-event meetings with clients to review event requirements, logistics, and floor plans.
Prepare detailed event orders and communicate specifications to all relevant departments
Coordinate event setup, execution, and teardown in collaboration with operations staff and vendors.
Ensure all events comply with safety, security, and venue regulations.
Maintain a high level of professionalism and responsiveness in all client and vendor interactions.
Resolve on-site client concerns quickly and effectively.
Build strong relationships with repeat and prospective clients to encourage future bookings.
Qualifications and Skills:
Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field.
2 years of experience coordinating events, preferably in a convention center, hotel, or large venue environment.
Strong organizational, multitasking, and time management skills.
Excellent communication and interpersonal skills.
Understanding of AV, catering, and facility operations.
Ability to work flexible hours, including evenings, weekends, and holidays, based on event schedules.
Detail-oriented and able to manage multiple events simultaneously.
