Key Responsibilities
Event Planning & Coordination
Plan, organize, and execute events (corporate, social, private, or promotional) from concept to completion.
Source and liaise with venues, vendors, suppliers, and contractors.
Manage event logistics including catering, AV, decor, transport, and accommodation.
Create event proposals, timelines, budgets, and post-event reports.
Ensure smooth on-site execution and troubleshoot issues during events.
Administration & Office Support
Manage daily administrative tasks, including filing, scheduling, correspondence, and office organization.
Prepare professional business documents, presentations, and proposals.
Maintain databases and update records of clients, vendors, and partners.
Organize and maintain contracts, agreements, and internal documentation.
Sales & Client Management
Respond promptly to client inquiries via email, phone, and in-person meetings.
Prepare and send proposals, quotations, and follow-up communications.
Chase potential and existing clients to secure bookings and confirm arrangements.
Build and maintain strong client relationships to encourage repeat business.
Support sales activities by identifying new opportunities and upselling services.
Financial Administration
Prepare and issue invoices, track payments, and follow up on outstanding accounts.
Assist with budget preparation and expense monitoring for each event.
Maintain accurate financial records for reporting and auditing purposes.

Skills & Qualifications
Proven experience in event planning, administration, or sales support.
Strong organizational and multitasking abilities with excellent attention to detail.
Exceptional written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and CRM tools.
Knowledge of budgeting, invoicing, and financial tracking.
Ability to work independently and as part of a team in a fast-paced environment.
Flexible with working hours, including evenings and weekends during events.
