Reporting To: Head - Sales / Projects / Commercial

Location: Vadodara

Role Purpose

The Estimating Engineer is responsible for preparing accurate, competitive, and compliant cost estimates for projects by analysing technical specifications, coordinating with internal departments and external stakeholders, and supporting the organization's bidding and order execution process. The role directly contributes to business profitability, risk management, and long-term customer retention.

Key Responsibilities

1. Manage end-to-end activities related to enquiries, tenders, and estimation in line with company procedures.

2. Prepare and submit Pre-Qualification Documents (PQDs), vendor registration documents, and project-specific questionnaires.

3. Ensure strict compliance with internal enquiry and purchase order checklists.

4. Maintain an accurate and up-to-date enquiry tracking register.

5. Review enquiry documents including drawings, MTOs, BOQs, and technical specifications to identify scope gaps or missing information.

6. Coordinate with Sales/Client teams to obtain clarifications and missing inputs in a timely manner.

7. Suggest value-engineered technical and commercial alternatives to optimize cost and feasibility.

8. Develop detailed cost estimation sheets covering material, manufacturing, subcontracting, logistics, overheads, and risk provisions.

9. Liaise with the Purchase department to verify raw material pricing, availability, and lead times.

10. Obtain quotations from sub-vendors and manufacturers as required.

11. Perform commercial and technical bid comparisons and prepare evaluation summaries.

12. Support supplier negotiations in coordination with Purchase and Management.

13. Coordinate with the Operations/Production team to validate manufacturability, production capacity, and delivery schedules.

14. Align customer delivery requirements with internal production planning.

15. Finalize project costing after comprehensive technical and commercial evaluation.

16. Implement management feedback and revise estimates accordingly.

17. Prepare and submit the approved commercial offer/quotation to the client.

18. Continuously identify opportunities for cost optimization without compromising quality and compliance.

19. Prepare GAD, QAP, and related technical documents post receipt of Purchase Order and submit for client approval.

21. Prepare Order Release Form (ORF) after approval and hand over to Order Processing/Logistics team.

22. Follow up with customers for approvals, clarifications, and pending inputs until final order clearance.

23. Maintain proper records in compliance with ISO quality management systems.

24. Maintain and update approved supplier/manufacturer databank.

25. Travel to client locations as required for technical discussions, inspections, and meetings.

26. Coordinate with cross-functional teams to ensure seamless project execution and timely dispatch.

Educational Qualification & Experience

Education: B.E. / B.Tech in Mechanical / Industrial / Production Engineering Experience: Minimum 1 to 2 years of relevant experience in estimation, sales engineering, design, or fabrication/manufacturing industry
