Role Overview:
We are seeking a detail-oriented and highly organized
Email Management Specialist
to efficiently handle large volumes of client communication through email. The ideal candidate should possess excellent written communication skills, strong organizational abilities, and a professional tone suitable for interacting with international clients.
You'll be responsible for managing inboxes, prioritizing and responding to emails, ensuring timely follow-ups, and maintaining a structured and clutter-free communication system.
Requirements
Key Responsibilities:
Manage and organize multiple client email inboxes with high accuracy and confidentiality.
Review, categorize, and prioritize incoming emails to ensure timely responses and actions.
Draft, proofread, and send professional email responses on behalf of clients.
Maintain communication logs, track pending responses, and set reminders for follow-ups.
Identify urgent or high-priority messages and escalate when necessary.
Create and manage folders, labels, and filters to optimize inbox efficiency.
Ensure proper documentation of communication and maintain client email protocols.
Collaborate with clients across international time zones to ensure seamless coordination.
Manage bulk or high-volume email inflows efficiently.
Maintain confidentiality and adhere to data privacy and security standards.
Required Skills and Qualifications:
Proven experience in
email management, executive assistance, or customer communication
roles.
Excellent written English and professional email etiquette.
Strong organizational and time-management skills.
Proficiency in tools such as
Gmail, Outlook, Zoho Mail, Slack, and CRM systems
.
Ability to handle large volumes of email correspondence efficiently and accurately.
Keen attention to detail and strong discretion with sensitive information.
Flexibility to work with international clients across different time zones.
Prior experience working with
International clients is a must
.
Familiarity with
inbox automation, filters, and productivity tools
.
Experience with
CRM or ticketing systems
(e.g., Zoho, HubSpot, Zendesk).
