Role Overview
As a
Study Abroad Counsellor
, you will be the
first point of contact
for aspiring students and parents connecting through
Meta ads, inbound leads, or direct walk-ins
. Your role is to
guide, advise, and convert
students by understanding their aspirations, evaluating their profile, and recommending the best-fit
country, university, and program
.
This is not a transactional sales role -- it's a
career-shaping, trust-building
position where your impact defines the student's global journey and VXU's success story.
You will take
complete ownership of the student's journey
, from first counselling interaction till they successfully land on their chosen campus abroad -- working seamlessly with VXU's internal departments (Applications, Visa, Loans, and Test Prep teams).
Key Responsibilities
1. Student Counselling & Conversion Attend and manage
Meta inbound leads, website enquiries, and walk-in students/parents
promptly and professionally.
Conduct
detailed profile evaluations
-- assess academics, financials, language proficiency, preferences, and career goals.
Recommend suitable
countries, universities, and programs
aligned with the student's profile and aspirations.
Explain eligibility, timelines, admission requirements, and post-study opportunities clearly.
Build
strong rapport and trust
with both students and parents through transparent and empathetic communication.
Convert enquiries to enrolments
by promoting VXU's value proposition and differentiated support model.
2. Document Collection & Process Initiation Collect and verify
all required application documents
(academic transcripts, passport, LORs, SOPs, IELTS, etc.) from the student.
Guide students on SOP preparation and ensure files are application-ready.
Facilitate the collection of
processing fees (?10,000)
-- clearly communicating it is
100% refundable
to encourage genuine applicants.
Maintain accurate records of all documents and communications in the CRM system.
3. End-to-End Ownership of Student Success Take
complete ownership of the student journey
, coordinating with:
Application Team:
for timely file submission and offers.
Visa Team:
for document preparation, financial guidance, and interview readiness.
Loan & Finance Team:
for non-collateral loan assistance through partner lenders.
Accommodation & Pre-Departure Team:
for housing, travel, and orientation support.
Follow up proactively with all teams to ensure a
seamless, stress-free experience
for the student and parent.
Ensure students are guided till they
land successfully in their university campus abroad.
4. Follow-ups, Communication & Relationship Management Maintain
less than 2% "unable to connect" rate
-- with strong, structured follow-ups via
calls, WhatsApp (AiSensy), and emails

Send
timely updates
on application status, deadlines, and next steps -- never leaving the student or parent uninformed.
Handle concerns or delays with
positive, confidence-building communication
, never creating panic or negative perception about partners or universities.
Ensure
prompt response times (within 24 hours)
for all new and ongoing student queries.
5. Performance, Reporting & ComplianceAchieve individual
monthly and quarterly admission targets
(applications, conversions, and processing fee collections).
Maintain
100% CRM hygiene
-- updating every lead's status, notes, and next action in real-time.
Participate in
training sessions
to stay updated on universities, countries, and visa policies.
Adhere strictly to
data privacy, confidentiality, and compliance
standards when handling student information.
Contribute to a positive, collaborative, and high-performance work culture.

Qualifications & Experience
Graduate/Postgraduate in any discipline (Education, Business, Psychology, or related preferred).
1-4 years of experience in
Study Abroad Counseling, Education Consulting, or Student Recruitment
.
Familiarity with
CRM tools, WhatsApp Business (AiSensy), and Google Workspace
preferred.
