The E-Commerce & Operations Coordinator is responsible for managing all aspects of the SOL Canada online platforms, financial record-keeping, logistics, and compliance support. This role involves overseeing product listings and pricing accuracy, handling invoicing and reconciliation in QuickBooks, coordinating with multiple e-commerce partners (Amazon, DoorDash, Grubhub, Shopify), and ensuring timely and accurate reporting across various operational functions.
Key Responsibilities:E-Commerce Management:
Manage and oversee SOL Canada's online platforms including SOL Online, Grubhub, DoorDash, and Amazon.
Monitor product listings, availability, and pricing accuracy across all channels.
Upload competitor pricing data via Prisync and perform regular price comparisons.
Manage Amazon product listings, FBA product tracking (bi-weekly), stock checks (daily), and feedback reports (weekly).
Upload Amazon videos and new product listings.
Perform customer complaint checks, unshipped order tracking, and inventory analysis on a daily basis.
Create advertising campaigns and manage storefront content on Amazon.
Conduct monthly Amazon reports: sales, price comparison, customer analysis, and FBA run rate.
Financial & Accounting Support:
Process invoices from DoorDash and Grubhub in QuickBooks.
Manage purchase orders for BondForever in QB.
Generate monthly sales reports and credit card fee summaries.
Track PayPal summaries, petty cash (US), and batter consumption.
Perform monthly bank reconciliations and invoice audits.
File and organize documentation, including signed invoices and Amazon reports.
Inventory & Order Management:
Conduct RMA checks and monitor damages/expired product inventory.
Analyze costs for new products and manage open store orders.
Save and maintain Amazon monthly data.
Print Shopify orders and generate CSV files for processing.
Update inventory records and non-organic batter lot numbers.
Logistics & Compliance:
Prepare and verify UPS, FedEx, and Amazon FBA billing reports.
Manage donations and update related summary reports.
Support Amazon compliance and account health monitoring.
Oversee backup operations for Amazon FBA processes including labeling, packing slips, and shipping logistics.
Raise shipping claims with USPS and UPS.
Administrative Duties:
Maintain up-to-date nonprofit details and photos (weekly).
Run daily Amazon Waizen AP invoice reports.
Prepare Amazon FBA invoices monthly.
Handle key duties during leave of other team members (e.g., Preethi).
Required Qualifications:
Proven experience in e-commerce operations or logistics coordination.
Proficiency in QuickBooks and MS Excel (including generating reports and analysis).
Familiarity with Amazon Seller Central, Shopify, Grubhub, DoorDash, and logistics platforms (UPS, FedEx).
Strong organizational skills and attention to detail.
Ability to multitask and work under tight deadlines.
Experience with reporting tools and competitor price tracking systems (e.g., Prisync).
