The Executive Assistant will provide high-level administrative and operational support to the Managing Director. The role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities while ensuring seamless coordination between internal and external stakeholders.
Key Responsibilities
Provide comprehensive administrative and secretarial support to the Director/Managing Director to ensure smooth day-to-day operations.
Manage and maintain a complex executive calendar, including scheduling meetings, appointments, and follow-ups.
Prepare, draft, and review professional correspondence, presentations, reports, agendas, and meeting documentation.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, logistics, and expense management.
Manage travel and conveyance expense claims, including review, validation, timely processing, and coordination with the finance team.
Act as the primary point of contact between the executive office and internal teams, senior leadership, clients, and external partners.
Coordinate and support high-level meetings with the Senior Leadership Team and Management Team (TMG), including agenda preparation and minute-taking.
Ensure timely and accurate flow of information, manage priorities, and proactively follow up on action items.
Handle executive communications, screen calls and emails, and maintain confidentiality at all times.
Oversee administrative and clerical staff, ensuring efficient execution of office support activities.
Coordinate with vendors and liaise with the finance team for bill verification, approvals, and processing.
Organize, maintain, and update office records, files, and documentation systems.
Support special projects and strategic initiatives as assigned by senior management.

Graduate or Postgraduate in any discipline
Work Experience
Minimum
6 years
of relevant experience in an Executive Assistant or senior administrative support role
Technical Skills
Proficient in MS Office (Word, Excel, PowerPoint), email management, internet research, and Google Sheets
Strong written and verbal communication skills
Excellent interpersonal, coordination, and negotiation abilities
Proven leadership capability with experience managing teams of 30
or more employees.
