As the Executive Assistant to the Managing Director, you will serve as the right hand to the MD, managing their calendar, communications, meetings, and strategic projects. This role requires exceptional organizational skills, business acumen, and the ability to work effectively in a fast-paced, multi-business environment. You will be the key liaison between the MD's office and internal/external stakeholders.

KEY RESPONSIBILITIES:
Calendar & Time Management
Schedule and prioritize executive meetings, appointments, and travel arrangements to maximize the MD's productivity
Coordinate with internal teams and external stakeholders to ensure smooth scheduling and avoid conflicts
Maintain and update executive calendars regularly, proactively managing changes and last-minute adjustments
Anticipate scheduling needs and prepare the MD for upcoming commitments
Communication & Correspondence Management
Manage incoming calls, emails, and correspondence for the MD, filtering and responding appropriately based on priority
Draft and prepare professional documents, presentations, reports, and business communications for internal and external distribution
Maintain organized communication records and follow up on action items to ensure timely resolution
Serve as the primary point of contact between the MD's office and stakeholders
Meeting & Event Coordination
Plan and organize high-level meetings, conferences, and business events, including agenda creation, logistics, and attendee coordination
Take accurate meeting minutes, track action items, and follow up with relevant teams to ensure accountability and progress
Prepare meeting materials, presentations, and briefing documents for the MD and attendees
Coordinate virtual and in-person meetings with seamless execution
Project & Strategic Support
Assist in project management tasks such as task tracking, milestone monitoring, and progress reporting across multiple business units
Conduct research, gather relevant information, and prepare insights to support the MD's decision-making and strategic initiatives
Collaborate with project teams to ensure deadlines are met, deliverables are achieved, and projects stay on track
Monitor key business metrics and prepare executive dashboards as required
Administrative & Operational Excellence
Handle administrative tasks such as filing, document management, and data entry with accuracy and attention to detail
Manage expense tracking, budget monitoring, and procurement processes as directed by the MD
Maintain strict confidentiality and handle sensitive business information with discretion, adhering to company policies
Ensure the MD's office operations run smoothly and efficiently at all times

Experience:
5+ years of proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives

Industry Background:
Prior experience in a
multi-business environment
or diversified conglomerate is highly preferred

Education:
Bachelor's degree in Business Administration, Management, or related field

Experience supporting Managing Directors or Founders of business groups
Knowledge of Surat's business ecosystem
Experience coordinating with multiple business verticals simultaneously
Background in handling board meetings, investor relations, or corporate governance activities
