Job Title :Executive Assistant



Job Purpose



To provide high-level administrative and operational support to senior management by ensuring effective coordination, communication, and follow-ups with internal departments and external stakeholders. The role demands strong organizational, interpersonal, and communication skills while maintaining efficiency, professionalism, and strict confidentiality in executive operations.

Key Responsibilities



1. Executive Support & Coordination

Manage the Director's daily schedule, meetings, and appointments. Prepare, organize, and maintain documents, presentations, and reports for meetings. Maintain an updated calendar and provide timely reminders for key events and deadlines. Handle all correspondence (emails, letters, phone calls) in a professional and timely manner.

2. Internal Stakeholder Coordination

Act as a key liaison between senior management and internal teams/departments. Track assigned tasks and follow up to ensure timely execution of action items. Facilitate smooth information flow and effective communication across teams.

3. External Stakeholder Management

Coordinate meetings, visits, and communications with clients, vendors, and business partners. Draft, review, and manage official communications, proposals, and meeting minutes. Arrange travel, accommodation, and logistics for external meetings and events. Build and maintain professional relationships with external stakeholders.

4. Data & Document Management

Maintain and organize records of critical and confidential documents including: Board meeting papers and MOMs Client quotations and proposals Vendor agreements HR-related correspondence (joining, resignation, etc.) Track key performance reports, project updates, and follow-up actions. Support documentation requirements for audits, management reviews, and compliance.

5. Confidentiality & Professionalism

Handle sensitive information with utmost discretion and integrity. Maintain a high level of professionalism in all interactions and communications.
