We are seeking a highly professional, articulate, and detail-oriented
Executive Assistant (EA)
to provide comprehensive administrative, operational, and strategic support to the Director. The EA will serve as a trusted partner and the first point of contact for internal and external stakeholders. The ideal candidate should be self-motivated, well-organized, and capable of managing multiple responsibilities with a high level of confidentiality and discretion.
This role is crucial for ensuring the smooth functioning of the Director's office, and requires excellent communication skills, emotional intelligence, and a strong sense of accountability.
Key Responsibilities
1. Executive Support to the Director
Manage and maintain the Director's schedule including meetings, appointments, travel arrangements, and other daily activities.
Coordinate and prioritize appointments, calls, and commitments to ensure optimal use of time.
Provide daily briefings and updates to the Director regarding upcoming meetings, deadlines, and activities.
Handle all personal and professional communications on behalf of the Director, including drafting and responding to emails, letters, and official correspondence.
2. Administrative & Office Management
Prepare high-quality documents, reports, presentations, and spreadsheets as required.
Take minutes of meetings, prepare action trackers, and follow up on key deliverables.
Maintain efficient electronic and physical filing systems ensuring proper documentation and retrieval processes.
Handle data entry, maintain office records, and update internal databases when required.
3. Communication & Liaison
Act as the liaison between the Director and internal departments, external stakeholders, clients, vendors, and service providers.
Screen incoming communications and determine the priority of issues, redirecting when necessary.
Organize and coordinate internal and external meetings, conferences, and events including logistics, materials preparation, and follow-up.
4. Travel & Logistics Management
Plan, book, and manage all travel requirements for the Director including transportation, accommodation, itinerary planning, and visa processing (if applicable).
Prepare detailed travel briefs and ensure necessary support is available during travel.
5. Confidentiality & Professionalism
Handle sensitive and confidential information with the highest level of integrity and discretion.
Uphold a professional and courteous demeanor at all times, representing the Director's office with grace and tact.
6. Miscellaneous
Provide personal assistance in non-office tasks or errands as delegated.
Perform additional administrative tasks or project-based responsibilities as assigned.
Qualifications & Experience
Education
: Graduate in any discipline. A Bachelor's degree in Business Administration, Commerce, Arts, or related fields is preferred.
Experience
: Minimum 1-4 years in an Executive Assistant, Personal Assistant, or high-level administrative role. Prior experience working with senior leadership is an advantage.
Skills & Competencies
Communication
: Excellent written and verbal communication skills in English and Hindi.
Technology
: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Comfortable with online collaboration tools such as Google Workspace or Zoom.
Time Management
: Ability to prioritize tasks, meet deadlines, and manage time efficiently.
Organizational Skills
: Strong attention to detail, structured working style, and ability to handle multiple tasks simultaneously.
Discretion
: High level of integrity, confidentiality, and emotional maturity.
Adaptability
: Ability to work under pressure and in a dynamic environment with changing priorities.
Presentation
: Well-groomed and presentable with a professional demeanor.

Compensation & Benefits
Monthly Salary
: Up to 28,000 (commensurate with skills and experience)
