Position Overview:
We are seeking a
professional and proactive Executive Assistant (EA)
to support the
Director
in managing day-to-day operations, communication, and administrative functions. The ideal candidate will have a
strong background in the medical or healthcare field
, excellent organizational skills, and the ability to maintain confidentiality while working in a fast-paced environment.
Key Responsibilities:
Provide comprehensive administrative and executive support to the Director.
Manage the Director's calendar, appointments, and meetings efficiently.
Coordinate internal and external communication on behalf of the Director.
Prepare and review reports, presentations, and correspondence.
Assist in operational planning, scheduling, and performance tracking.
Liaise with department heads, consultants, and external partners to ensure smooth workflow.
Handle confidential and sensitive information with utmost discretion.
Support recruitment coordination, HR documentation, and vendor communication when required.
Maintain files, records, and databases systematically.
Follow up on assigned projects and ensure timely completion.
Required Qualifications & Skills:
Education:
Bachelor's Degree in Business Administration, Healthcare Management, or related field.
Experience:
Minimum
2-4 years
of experience as an Executive Assistant, preferably in the
medical or healthcare industry
.
Strong understanding of medical terminology and hospital/diagnostic centre operations.
Excellent communication and interpersonal skills.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and digital scheduling tools.
High level of professionalism, integrity, and confidentiality.
Strong organizational, multitasking, and time management abilities.
Ability to work independently and handle pressure effectively.
Preferred Attributes:
Prior experience supporting senior management or Director-level executives.
Knowledge of HR and administrative coordination in a healthcare setup.
Familiarity with hospital management systems or healthcare software.
Compensation:
Competitive salary based on experience and qualifications.
