We are seeking a proactive and detail-oriented Executive Assistant / Advisor to support senior leadership in an automobile dealership setup. The role combines executive-level administrative support with financial coordination and advisory responsibilities, ensuring smooth day-to-day operations and informed business decisions.
Key Responsibilities
Administrative Responsibilities
Manage calendars, appointments, and travel schedules for senior dealership leadership
Coordinate meetings with banks, vendors, and key business partners
Prepare presentations, MIS reports, and management dashboards
Handle confidential dealership documents, contracts, and correspondence
Support inter-departmental coordination across Sales, Service, Finance & Insurance (F&I), and Operations
Financial & Commercial Responsibilities
Assist in budgeting, expense tracking, and cost control for dealership operations
Track dealership revenues, commissions, incentives, and operational expenses
Coordinate invoice processing, vendor payments, reimbursements, and approvals
Work closely with accounts, auditors, and banks
Prepare financial summaries, cash flow trackers, and monthly MIS reports
Dealership Advisory & Support
Support leadership with data analysis on sales performance, inventory, margins, and operational KPIs
Monitor business targets, budgets, and operational efficiency
Identify cost optimization opportunities and process improvements
Support audits, statutory compliance, and financial documentation
Required Skills & Qualifications
Bachelor's degree in Business Administration, Finance, Accounting, or related field
Proven experience as an Executive Assistant or Advisor in an automobile dealership or similar environment
High proficiency in MS Excel, PowerPoint, and Word
Excellent organizational, communication, and stakeholder management skills
Ability to handle sensitive financial and business information with discretion
